About The Role:

Are you an office superstar looking for your next fun and challenging role? Look no further! At Pushpay, we have the exciting opportunity for an experienced Office Coordinator to join our Auckland team. Supporting our local team of 100+, the Office Coordinator is a business critical role which ensures the smooth day-to-day functioning and success of our office. We’re looking for someone to oversee a variety of daily operational and administrative tasks, while also fostering a thriving and engaging workplace culture.

This role is part-time (25 hours per week) and fully onsite in Auckland CBD, Monday to Friday. Our office generally has employees working between 7:30am-6:00pm and we are open to discussion on preferred start times. Please note that on Fridays you would be required to be onsite until 4:30 pm to accommodate preparation for our weekly employee social gathering.

No supervisory responsibilities.

Main activities:

The Office Coordinator is dedicated to providing exceptional service by overseeing all office related support and operations, and supporting local leaders, IT, People, and other internal departments and teams to foster a positive and efficient workplace and culture. The Office Coordinator may also provide administrative/project support for the local leaders and internal departments, as required. 

  • Office Administration: Manage day-to-day office operations including answering phones, managing our visitor system, overseeing deliveries and maintaining office supplies, equipment and swag.
  • Facility Management: Ensure the office is well-maintained, clean, and safe for all employees. Coordinate with building management for any facility-related issues.
  • Vendor Management: Maintain relationships with vendors and suppliers, and handle some local procurement and inventory management.
  • Collaborate with local and international team members to support initiatives across our NZ and US offices.
  • Communication: Serve as a point of contact for employees and visitors, and ensure efficient communication within the office.
  • Event Coordination: Assist in planning and organizing company events, meetings, and team-building activities to promote a positive workplace culture (occasionally offsite).
  • Social Engagement: Develop and implement initiatives that encourage social interaction among employees, such as organizing social events, celebrations, and wellness activities.
  • Champion Health and Safety: Help lead our local health and safety committee and ensure health and safety are maintained across the office
  • Supporting administrative needs of local leaders eg. preparing meeting materials, travel coordination and light project management
  • HR Support: Assist the People and IT departments in recruiting and onboarding new employees, offboarding departing employees and other HR-related tasks.
  • Ad Hoc Projects: Support various teams with special projects and tasks as needed.

Key skills:

  • Good interpersonal, oral and written communication skills
  • Intermediate MS Office or Google Suite skills
  • Strong organisation and time management skills
  • Project coordination
  • Ability to work independently, as well as in a team environment
  • Maintain confidentiality and high degree of ethical standards at all times

Typical experience:

  • Proven experience in an office management/coordination role 
  • Proficiency in Google Suite (Gmail, Docs, Slides, etc) and other office software.
  • Strong interpersonal skills allowing you to work with a variety of stakeholders
  • Enthusiastic attitude and willing to take initiative 
  • Highly organised with excellent time management and multitasking skills
  • Strong written and verbal communication is essential
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • We aren’t big into micromanaging, so we’re looking for a self starter who is confident about working independently as well as in a team environment
