Job Title: Intake Specialist

We are looking for a compassionate, organised, and highly professional Intake Coordinator to join a growing Applied Behavior Analysis (ABA) provider serving families in the United States.
As the first point of contact for parents seeking autism-related services for their children, you will play an important role in creating a positive and supportive experience for families from their very first interaction.
Many families may be contacting the organisation during a stressful or vulnerable time. The successful candidate must therefore be patient, empathetic, emotionally mature, and confident communicating with parents in a professional and reassuring manner.
Requirements
- Respond promptly and professionally to new enquiries from prospective families.
- Speak with parents who are seeking ABA services for their children.
- Provide a compassionate, patient, and reassuring first point of contact.
- Gather and accurately record all relevant intake and family information.
- Explain the intake process clearly and professionally.
- Follow up consistently with prospective families.
- Maintain regular communication throughout the intake process.
- Identify suitable enquiries and help move them through the appropriate intake stages.
- Maintain accurate and up-to-date records in the relevant systems.
- Ensure information is captured accurately and handled professionally.
- Balance responsiveness and efficiency with sensitivity to each family's individual circumstances.
- Communicate professionally with internal teams regarding prospective families and intake status.
- Ensure prospective families receive timely updates and clear next steps.
- Previous experience in customer service, client care, intake coordination, or another customer-facing role.
- Excellent verbal and written communication skills in English.
- Clear, professional and easily understandable speaking style.
- Comfortable communicating with American clients and families.
- Compassionate, patient, and emotionally mature approach.
- Ability to handle sensitive or emotional conversations with care and professionalism.
- Strong organisational skills and attention to detail.
- Reliable and consistent with follow-ups.
- Ability to build trust and rapport without making families feel rushed or pressured.
- Comfortable working independently in a remote environment.
- Ability to manage multiple enquiries while maintaining a high standard of service.
Preferred Experience
Experience in one or more of the following would be advantageous:
- Healthcare administration
- Patient coordination
- Medical intake
- Behavioural health intake
- ABA or autism services
- Social work or community services
- Customer service or client care
- Lead management
- Healthcare-related customer or client coordination
