The Opportunity:
In this role, you will support the Director of the Board Governance Unit who is also the General Manager of the Farm Land Security Board. You will also provide administrative support to various Board and Tribunals including scheduling and organizing logistics for monthly Board Meetings or tribunal hearings. You will be responsible for all administrative activities related to a variety of sensitive and confidential documents including general correspondence, briefing materials, Cabinet Items, Court Reports, tables, graphs and presentation materials with a keen eye for detail. As the Executive Coordinator you will also work closely with the unit Specialists, particularly on farm land foreclosure communications.
- Plan, schedule, and coordinate logistics for Board meetings, hearings, and other events.
- Work closely with the unit specialists, particularly on farm land foreclosure procedures and assist in all communications.
- Manage the Director’s calendar through collaboration, prioritization, and scheduling.
- Prepare briefing and background materials to support the Director.
- Draft, record, proofread, and edit correspondence in accordance with Government of Saskatchewan (GOS) visual identity standards.
- Assist clients who contact the unit and connect them with the appropriate specialists, which may be in person or by telephone.
- Manage incoming and outgoing correspondence to ensure timely distribution.
- Monitor administrative processes and implement improvements within the branch to enhance efficiency.
- Maintain manual and electronic filing systems, including bring-forward and records-management processes.
- Verify, code, process, and track invoices for approval and payment, ensuring compliance with policies.
