Role Overview
We are looking for a highly organized, detail-oriented Recruitment Coordinator to support high-volume staffing programs managed through Managed Service Providers (MSP) and Vendor Management Systems (VMS).
In this role, you will coordinate the administrative recruitment lifecycle-from receiving job requisitions to candidate submission, interview scheduling, and placement tracking. You will serve as the central operational bridge between Client Managers, recruiters, and client MSP/VMS platforms.
Key Responsibilities
- Job Requisition Management:
- Monitor incoming job requisitions daily across client VMS platforms (e.g., Fieldglass, Beeline).
- Accurately input requisition data into Bullhorn ATS and promptly broadcast open roles to assigned recruitment teams.
- Candidate Submission Coordination:
- Receive candidate profiles and resumes from internal recruiters.
- Audit submissions for completeness, formatting, accuracy, and client compliance requirements.
- Upload formatted candidate packages into client VMS portals within tight deadlines.
- Recruitment Workflow & Schedule Management:
- Track candidate progress, gather client feedback, and distribute updates to recruiters.
- Coordinate and schedule interview availability between candidates, recruiters, and client managers.
- Facilitate administrative follow-ups throughout the hiring and placement pipeline.
- Compliance & Onboarding Support:
- Coordinate candidate documentation, certifications, background check requests, and drug screenings as required by specific VMS programs.
- Ensure all candidate files meet program-specific compliance benchmarks before deployment.
- ATS & VMS Administration:
- Maintain real-time data integrity across internal Bullhorn ATS and client VMS platforms.
- Track requisitions, submittals, interviews, offers, placements, and start dates accurately.
- Cross-Team Communication:
- Act as the primary administrative point of contact connecting recruiters, account leaders, and MSP/VMS program teams to eliminate bottlenecks.
Required Qualifications & Experience
- Experience: 1.5 to 2+ years of hands-on experience in recruitment operations, staffing coordination, or recruitment administration, specifically supporting North American (US/Canada) staffing or recruitment markets.
- ATS Expertise: Direct experience working within an Applicant Tracking System (ATS); proficiency in Bullhorn is strongly preferred.
- VMS Knowledge: Hands-on exposure to Vendor Management Systems (e.g., SAP Fieldglass, Beeline, FieldNation, Workday) is highly desirable.
- Process Understanding: Clear understanding of the full recruitment lifecycle (requisition creation $rightarrow$ submission $rightarrow$ interview $rightarrow$ offer $rightarrow$ placement).
- Communication Skills: Professional, flawless written and spoken English communication skills.
- Operational Drive: High attention to detail, exceptional organizational skills, and the ability to multitask under high-volume, deadline-driven conditions.
What Success Looks Like
- Accuracy: Zero-error entry of requisitions into ATS and candidate files into client VMS systems.
- Speed & SLA Compliance: Rapid turnaround on requisition broadcasting and candidate submittals before client deadlines.
- Seamless Operations: Efficient scheduling, prompt feedback delivery, and proactive tracking of candidate onboarding requirements.
- Data Integrity: ATS and VMS platforms remain 100% updated and reflect real-time recruitment pipeline metrics.
