This role manages tooling requests, job documentation, project tracking, supplier coordination, and systems data to ensure work is accurately prioritized, materials are available, records are maintained, and projects progress efficiently from request through completion.

Working closely with Tool Makers, Supervisors, Engineering, Production, Accounting, Sourcing, suppliers, and other stakeholders, the Project Coordinator facilitates communication, monitors project status, maintains operational data and performance metrics, and supports continuous improvement efforts that enhance Tool Room efficiency, organization, and operational readiness.

Key Responsibilities:

  • Project Planning, Tracking & Coordination: Develop and maintain project tracking sheets, milestone schedules, priorities, and status information for Tool Room work; monitor open actions, lead times, costs and risks, and escalate delays or constraints that may affect delivery.

  • Cross-Functional Coordination: Serve as an administrative link among Tool Room leadership, team members, Tool and PPD Design, requesters, Accounting, Receiving, Global Sourcing, C.I. teams, and other stakeholders to move work from request through completion and pickup.

  • Purchasing & Supplier Coordination: Coordinate purchasing activities by obtaining quotes and placing orders for materials, tooling, stock items, heat treatment, and services; maintain supplier acknowledgements and shipping information; initiate returns and new-supplier setup; and resolve order or invoice questions with suppliers and internal partners.

  • Inventory & Asset Administration: Support inventory and asset management activities by maintaining item records, locations, min/max levels, pricing, and vendor information, while assisting with replenishment, cycle counts, labeling, and organization.

  • Systems & Data Management: Enter and maintain accurate Tool Room information in Oracle, Limble, MOM, 3DX, SharePoint, spreadsheets, Tool Master Records, and related systems, including job status, inventory, asset, purchasing, shipping, and project-hour data.

  • Performance Reporting & Operational Visibility: Compile and distribute KPI reports, including MER hours, on-time delivery, department safety matrix, and AIP delivery counts; analyze workflow data and identify overdue work, data gaps, and follow-up needs.

  • Workflow & Process Improvement: Maintain standard work and quick-reference guides, strengthen consistent administrative processes, and recommend improvements that reduce delays, rework, waste, and variability in Tool Room workflow.

  • 5S & Departmental Readiness: Lead Tool Room 5S administrative activities, including assessments, boards, cleaning and BLITZ rotations, normal condition documentation, audit records, and follow-up on departmental improvements.

  • On-Site Operational Support: Provide responsive on-site support for general Tool Room questions, visitor and supplier coordination, calendars, receipts, shipping documents, and other administrative needs required for daily operations.

  • Compliance: Understand and comply with applicable Company policies, rules, safety expectations, and recordkeeping requirements

What you’ll Need To Succeed:

  • Experience providing administrative, project, purchasing, inventory, or workflow support in a manufacturing environment.

  • Ability to organize and prioritize multiple tooling jobs, requests, deadlines, and follow-up actions in a fast-paced environment.

  • Working knowledge of purchasing, inventory control, supplier communication, and enterprise resource planning concepts.

  • Proficiency with Microsoft Excel, Outlook, Word, and PowerPoint.

  • Clear written and verbal communication skills for working with shop personnel, technical teams, requesters, suppliers, and leadership.

  • Project management, Lean, or continuous improvement certification.

  • Familiarity with Oracle ERP, Limble CMMS, SharePoint, 3DX, Power BI, or similar manufacturing and reporting systems.
