Project Coordinator (New Fragrance Launches)

About the Role :

The Project Coordinator will join Scentbird’s Operations Department and report directly to the Project Manager. This role will be responsible for ensuring that the Operations and Product Development departments have all of the necessary information and assets for card and label creation for all new fragrance launches. This role will coordinate receiving and organizing critical information for a successful launch including brand assets, logos and bottle samples. The Project Coordinator will be responsible for adding all assets into JIRA tickets for the Packaging Designer to create cards and labels for each new launch. Upon completion of cards and labels, the Project Coordinator will act as a liaison to our brand partners to obtain approval and help facilitate edits as needed. This role requires a strong attention to detail as they will be responsible for reviewing all completed cards/labels and calling out any discrepancies to the original documentation. Additionally this role will work with a 3rd party to get all of the card copy and fragrance notes translated into multiple languages and ultimately organize the information into JIRA tickets. This role will work closely with the Project Manager to communicate timelines and status updates.

What You’ll Be Responsible For:

  • Tracking bottle samples to be sent from our brand partners to our photographer
  • Meet monthly with Project Manager, Photographer and Creative team to align on received assets
  • Follow-up with Biz Dev (Kate) as needed to obtain required assets and information for new launches
  • Inputting all received assets and copy into Jira tickets for Packaging Designer / Brand Partners to facilitate edits needed.
  • Review designed cards and labels for accuracy and work with Packaging Designer / Brand Partners to facilitate edits as needed
  • Review all 2D and QR codes on cards and labels for accuracy and communicate with the Brand Partner and internal teams if follow-up is required
  • Facilitate the translation process with a 3rd party Agency and communicate any timing issues to the Project Manager
  • Track and follow up with teams for upcoming private sale assortments for BOM/SKU data entry
  • Communicate all issues and timelines with the Project Manager
  • Attend cross-functional meetings as needed to update on status and raise any issues/concerns
