We are building a culturally-focused, technology-enabled healthcare organization that integrates comprehensive medical care and social support with a high-touch, interdisciplinary approach.

About Seen Health

At Seen Health, we are revolutionizing the way senior care is delivered through the PACE (Programs of All-Inclusive Care for the Elderly) model. Backed by top VCs, Seen Health is a culturally-focused, technology-enabled healthcare organization that integrates comprehensive medical care and social support with a high-touch, interdisciplinary approach.

Our mission is to empower seniors to age-in-place with dignity and provide their families peace of mind. We are building upon a proven Home and community based services model to create a culturally-competent and scalable PACE program. We are also building a comprehensive operating system focused on data and workflows that span across systems, processes, people, and care contexts. We want to empower our clinicians and staff with tools that deliver relevant data at the time and site of care and enable them to deliver exceptional care to our participants, which improve clinical outcomes, participant & provider satisfaction, and ultimately our strength as an organization.

We are a mission-driven, multidisciplinary team with deep healthcare, technology, and operations expertise, each inspired by our own personal stories of caring for seniors in our lives. Our name, Seen Health, was chosen to reflect our commitment to provide the highest standard of care to underserved older adults while respecting and incorporating their individual beliefs, heritage, and values, so that they can truly be seen.

About the Role

The Front Desk Supervisor is a hands-on leader who sets the tone for the center's first impression and day-to-day culture. This is a working supervisor role: you will work the front desk alongside the Guest Services Representatives while leading, coaching, and developing the team, and you will partner closely with the Center Director and operations leadership to improve the workflows, systems, and processes that keep the center running smoothly. We are looking for someone who rolls up their sleeves, builds an inclusive and respectful team culture, and is energized by making things better.

Responsibilities

Lead & support the team

  • Supervise, coach, and develop the Guest Services Representatives team, setting clear expectations and providing regular feedback and support.
  • Create front desk schedules and ensure appropriate coverage for daily operations, breaks, and absences.
  • Support recruiting, interviewing, onboarding, and training of new team members.
  • Address performance and interpersonal issues promptly and help foster a respectful, inclusive team culture.
  • Serve as a hands-on resource for questions, escalations, and day-to-day problem-solving.

Own the participant & visitor experience

  • Oversee front desk operations, including greeting and screening participants and visitors, answering and routing calls, managing attendance, and ensuring timely follow-up.
  • Ensure front desk processes support participant safety, security, and a welcoming experience.
  • Serve as a point person for participant and visitor concerns, helping ensure issues are resolved quickly and appropriately.

Improve front desk operations

  • Partner with the Director of Clinical Operations to identify recurring issues and improve front desk workflows, processes, and use of technology.
  • Develop and maintain front desk procedures, training materials, and operating standards.
  • Track key front desk metrics and identify opportunities to improve efficiency, service, and center operations.
  • Champion new tools, processes, and ways of working with the team.

Support center operations

  • Oversee day-to-day administrative needs such as mail and packages, office supplies, equipment issues, and other front desk resources.
  • Support center safety, emergency preparedness, and security processes, including safety drills, emergency materials, and opening/closing procedures.
  • Provide administrative support to center and clinical teams as needed and help troubleshoot operational issues.

Qualifications

  • High School graduate or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum of three (3) years of experience in a customer-facing administrative role (e.g., front desk, reception, office management), including at least one (1) year in a lead or supervisory capacity.
  • Proven people leadership skills: ability to coach, motivate, and manage conflict, and to build an inclusive, respectful, high-performing team culture.
  • Willingness to roll up your sleeves and do whatever it takes to get the work done; no task is above or below you.
  • Tech-savvy and detail-oriented, with strong critical thinking and a continuous-improvement mindset; comfortable changing workflows to improve processes.
  • Excellent interpersonal skills, including the ability to communicate in a professional, warm, and clear manner, both verbally and in writing.
  • Experience working with the frail or elderly in a volunteer or professional capacity preferred.
  • Experience and excitement to work with a diverse population of colleagues and participants.
  • Thrive in a busy, fast-paced environment with multiple interruptions and varied types of work; highly organized with strong follow-through.
  • Computer proficient with Microsoft Office Suite, scheduling systems, and other relevant office technology; moderate technical understanding of office equipment.
  • Bilingual: Cantonese/Mandarin and English required.

Preferred

  • Experience in an office manager or operations role.
  • Experience with an electronic health record system.
  • Experience working with the senior population.
  • Trilingual: Cantonese, Mandarin and English preferred.

Location

  • Los Angeles required. Ability to commute to Alhambra required.
