About the Senior Accounts Payable Administrator role..

The Senior Accounts Payable Administrator is responsible for managing supplier payments, accounts payable, and settlements across multiple legal entities and countries. The role works closely with the Finance Manager and handles payments in different currencies, including AUD, USD, GBP, EUR, THB, and PHP.

As part of a small, three-person AP operations team, you will help ensure that supplier payments, intercompany settlements, and daily cash movements are accurate, well-managed, and completed on time.

What you’ll do...

Invoice Processing and Exceptions

  • Process supplier invoices from start to finish in Workday, ensuring they are accurate, coded to the correct entity, cost centre, and GL account, and submitted for approval on time.

  • Match purchase orders, receipts, and invoices to ensure records are accurate.

  • Process intercompany transactions, including cross-entity invoices, and submit intercompany settlements to the Finance Manager for approval.

  • Manage invoice exceptions by working directly with budget owners to resolve coding and matching issues, follow up on pending approvals, and escalate issues that need a decision. All invoices must be approved by the budget owner or their delegate.

  • Manage the AP inbox and respond promptly to internal and external payment queries.

Payments and Settlements

  • Prepare weekly or fortnightly payment runs and daily settlement runs for local and overseas suppliers, including foreign currency payments through EFT and manual processes. Ensure all supporting documents are complete and submit payments for review and dual approval by the Finance Manager and a second approver. This role does not have payment release authority.

  • Maintain strong payment controls by independently verifying new or updated supplier bank details before submitting them for approval and checking that payment runs are complete and accurate.

  • Send payment remittances and respond to supplier payment queries.

Vendor Management

  • Set up new vendors, process changes to vendor master data, and maintain complete and up-to-date vendor records. All new vendor registrations and changes, including bank details, must be submitted for approval.

  • Reconcile supplier statements and investigate and resolve any differences.

Reconciliations and Month-End Close

  • Prepare bank and corporate card reconciliations for the Finance Manager’s review and sign-off.

  • Follow up with cardholders to collect supporting documents for corporate card transactions.

  • Lead the accounts payable month-end close process and support end-of-financial-year (EOFY) activities.

Team Leadership and Support

  • Lead and support a team of two, consisting of an AP Officer and an Accounts Officer, by assigning tasks, setting priorities, and reviewing their work for accuracy and timely completion.

  • Train and coach team members and keep AP procedures up to date to ensure consistent processes and adequate task coverage.

  • Provide administrative support to the wider Finance team, including reception relief and other duties as needed.

What you’ll have...

  • An associate degree or bachelor’s degree in Accounting.

  • At least 3 years of experience in accounts payable, payments, and bank operations.

  • Experience preparing payment runs and reconciling bank accounts in a multi-entity environment.

  • Strong knowledge of the end-to-end accounts payable process, including inventory, imports and shipments, foreign currency payments, and trade finance.

  • A good understanding of month-end closing activities and vendor reconciliations.

  • Working knowledge of tax invoice requirements.

  • Strong Excel skills and the ability to handle large payment amounts across multiple currencies.

  • Experience with Workday Financials is preferred. Experience with other ERP systems, such as SAP, Oracle, or NetSuite, is also an advantage but not required.

Key Attributes

  • Takes ownership of issues and resolves exceptions independently, escalating only those that require a decision.

  • Confident in following up with banks, suppliers, and senior stakeholders to ensure issues are resolved.

  • Has strong attention to detail, meets tight deadlines, and stays calm under pressure.
