JOB PURPOSE:
The records Coordinator provides administrative, communications, and logistical support for Howard University School of Law’s Records Office. The incumbent supports the Director and Assistant Director of Records ensuring confidentiality and keeping operations running smoothly by managing student records requests, recordation of official grades, certification of graduates and exam administration processes.

NATURE AND SCOPE:
The program coordinator will help build positive relationships with students, faculty, staff, alumni and external partners.
PRINCIPAL ACCOUNTABILITIES:
- Greets visitors and directs them to the appropriate office or answers questions.
- Answers phone calls and directs calls to the appropriate office or answers questions.
- Works with the Director of Records to process grades received from faculty and
transfer credits and converts a variety of grade components into a format conducive to
calculation of final grades.
- Calculates GPAs (each semester) and class rank of students (annually)
- Maintains archival records and provides assistance to administrators, faculty, and others;
- Maintains student records and creates files for incoming students
- Assists with the bar certifications
- Verifies enrollment, grades, etc. for former students and graduates
- Manually manages enrollment first year and LL.M. students, as well as students enrolled in
clinics and externships.
- Secures exam ID numbers and distributes the ID numbers to students.
- Informs students of registration and graduation due dates and provides assistance to
students when needed.
- Acts as a troubleshooter for problems incurred during registration.
- Prepares grade changes and maintains records of the changes.
- Provides the Director of Bar Preparation and Academic Support with documentation needed
for first year and second year academic support program participants.
- Prepares and assists the Assistant Director with the exam administration process.
- Prepares CALI awards list for each semester.
- Performs other job-related duties as assigned. CORE COMPETENCIES:
- Skilled in the operation of computers, related software applications (word-processing,
spreadsheet, database, graphic presentations, information management, etc.), especially
Microsoft Office Suite, Workday, and standard office equipment.
- Ability to exercise discretion and ensure a high-level of confidentiality.
- Communicate effectively orally and in writing with a diverse population.
- Skilled in the use of proper grammar, punctuation, spelling, business correspondence,
composition and format.
- Knowledge of office practices and secretarial science.
- Ability to establish and maintain effective and harmonious work relations with faculty, staff,
students and the general public.
MINIMUM REQUIREMENTS:
- Two years of college or business school and one (1) year responsible secretarial experience;
or an equivalent combination of three (3) years combined, relevant education and
experience.
