We are seeking to recruit for Season 2027 passionate, hardworking, guest-focused, and enthusiastic individuals who thrive in a collaborative environment and are committed to delivering thoughtful, personalized services.

The Pre-Arrival Concierge Coordinator will support our guests by ensuring that every detail of their stay is arranged prior to arrival. Your contribution will be essential in delivering a seamless and personalised experience that reflects our philosophy.

The role will report to the Reservations & Sales Manager, will be based in Athens and may require travelling occasionally to Antiparos island per business needs

To be successful in this role you will have:

· Manage all pre-arrival communication and arrangements for guests

- Coordinate dining reservations, transportation, activities and internal resort reservations.

· Ensure all guest profiles, preferences, special requests and special occasions are updated accurately in Opera PMS.

· Αnticipate guest needs and prepare tailored itineraries before arrival.

· Provide accurate information about resort facilities, services, and experiences.

· Support and collaborate with the Front Office, Food & Beverage, Culinary and HOH teams based in Antiparos

· Handle guest enquiries with professionalism and discretion.

- Support the Front Office and Concierge team at Antiparos in delivering exceptional guest experiences

· Promote the property's services and experiences, including transfers, private dining, excursions, spa treatments, and other available services.Address guest feedback promptly and escalate when necessary.

Requirements

• Degree or diploma in Hospitality Management or related field
• A minimum of 2-3 years of experience in a Front Office, Concierge, or Reservations role within a luxury hospitality environment
• Fluency / excellence in English (spoken and written)
• Knowledge of additional languages (e.g. Greek, French, Italian, German, Spanish) is a strong advantage
• Knowledge of OPERA PMS is preferable
• Proficiency in MS Office applications
• Availability to work on shifts and weekends
• Experience in personalized guest services and concierge operations
• Strong organizational skills and attention to detail.
• Excellent communication and interpersonal skills
• Team player, solution-oriented, proactive, and adaptable
• Highly organized, able to multitask in a fast-paced environment
• Polished, tactful, and professional presence
