Contract: Permanent, Part-Time

Working Pattern: Ideally around 4 hours per day, Monday to Friday, with flexibility around start and finish times. We can also consider approximately 2.5 days per week for the right person.

About The Role

We are looking for an organised, friendly and dependable Training Support Administrator to join our Training team and provide day-to-day administrative support to our Training Coordinator and trainers.

This is a hands-on support role where you will help keep our training operation running smoothly. You’ll assist with course bookings, customer enquiries, training records, calendars and systems, while also helping make sure our training environment is prepared and ready for delegates and trainers.

You don’t need to have previously worked in a Training department.

We’re particularly interested in people who are organised, communicate well, enjoy helping others and are comfortable learning new systems and processes.

Experience from general administration, reception, customer service, education, hospitality, events or another organised customer-facing environment could all transfer well into this role.

What You’ll Be Doing

Training Administration

  • Provide day-to-day administrative support to the Training Coordinator and wider Training team.
  • Help manage bookings for training courses, including booking delegates on and off courses.
  • Monitor and respond to enquiries through the Training inbox, email and telephone.
  • Communicate course information, schedules and changes clearly and professionally.
  • Maintain accurate training records, attendance information and other course-related administration.
  • Learn and use our Learning Management System and other internal systems.
  • Help maintain training calendars and course schedules.

Supporting Training Delivery

  • Help prepare the training environment ahead of courses.
  • Make sure training rooms, materials and resources are ready for trainers and delegates.
  • Help ensure refreshments and other practical requirements are in place for on-site training.
  • Welcome delegates and help provide a positive and professional customer experience.
  • Support trainers with routine administrative or logistical requirements.

Customer & Team Support

  • Respond to customer enquiries and make sure queries are directed to the right person where necessary.
  • Liaise with colleagues across the business to help training sessions run smoothly.
  • Provide friendly, professional and helpful support to customers, delegates and colleagues.
  • Help keep information, records and shared mailboxes organised and up to date.

General Administration

  • Support the preparation of routine course documentation where required.
  • Help gather feedback following training sessions.
  • Identify simple ways we can improve administrative processes and customer experience.
  • Support the ordering and organisation of training materials and merchandise where required.
  • Undertake other reasonable administrative duties that support the Training team.

What We’re Looking For

The most important things for this role are good communication and strong organisational skills.

You’ll ideally be someone who:

  • Is organised, reliable and able to manage a number of small tasks without losing track of them.
  • Communicates confidently and professionally in person, by telephone and in writing.
  • Has good attention to detail.
  • Enjoys helping customers and colleagues.
  • Is comfortable dealing with emails, calendars, bookings and routine administration.
  • Is willing and able to learn new systems and processes.
  • Can work independently while also being part of a small team.
  • Has a professional, friendly and approachable manner.
  • Is comfortable using Microsoft Office applications such as Outlook, Word and Teams.

Experience

Previous experience in an administrative, reception, customer service or similar support role would be useful, but we are open to candidates from a range of backgrounds.

Experience supporting training, learning activities, courses or events would be an advantage, but is not essential.

You do not need to have used our specific Learning Management System before - we are more interested in your ability and willingness to learn.

  • Comfortable using email, calendars and standard Microsoft Office applications.
  • Able to learn new systems and processes quickly.
  • Reliable, proactive and comfortable working both independently and as part of a team.
  • Good judgement and the ability to know when to resolve something independently and when to escalate.

Experience:

  • Previous experience in an administrative, customer service, reception or other support-focused role is desirable.
  • Experience working in a busy environment where organisation, accuracy and communication are important would be beneficial.
  • Exposure to training, learning, education, events or course administration would be advantageous, but is not essential.
  • Experience using shared inboxes, booking systems, CRM, learning management systems or similar business systems would be useful, although full training can be provided.
  • We are open to candidates with transferable experience who can demonstrate the right organisational, communication and customer service skills.
