Job Description :
The Training Operations Specialist plays a critical role in supporting the day-to-day administration and operational effectiveness of Thomson Reuters training programs. This position supports a wide range of training operations activities, including learner support, training administration, learning management system (LMS) administration, continuing education tracking, certifications, reporting, and process improvement initiatives.
The ideal candidate is highly detail-oriented, analytical, customer-focused, and comfortable working across multiple systems and processes. This role requires strong problem-solving skills, exceptional attention to detail, a commitment to operational excellence, and a willingness to leverage emerging technologies, including artificial intelligence, to improve efficiency and support business objectives.
Key Responsibilities
Compliance & Data Integrity
- Ensure learner records, attendance data, completion records, and certificates are accurately reflected within training systems.
- Support continuing education and certification programs by helping ensure systems properly track and assign credits based on established business rules.
- Monitor training records and reporting for accuracy, identify discrepancies, and partner with the appropriate teams to investigate and resolve issues.
- Perform validation activities that support the integrity of training records, reporting, certifications, and continuing education evidence.
- Maintain a strong focus on accuracy, attention to detail, and adherence to established operational procedures.
Training Operations & Customer Support
- Provide operational support for customer-facing and internal training programs.
- Partner with trainers, content teams, operations teams, product teams, and external vendors to deliver a high-quality learner experience.
- Investigate and resolve learner access, enrollment, attendance, reporting, certification, and other training-related issues.
- Respond to customer and internal inquiries with a focus on accuracy, timeliness, and service excellence.
- Support recurring operational processes related to learner management, attendance reconciliation, reporting, certifications, and training delivery.
- Identify and escalate operational issues while driving resolution through collaboration with stakeholders.
Learning Management System (LMS) Administration
- Administer user accounts, permissions, roles, groups, and learner access within the Learning Management System.
- Support ongoing LMS operations to promote system stability, usability, and a positive learner experience.
- Troubleshoot LMS-related issues and collaborate with technical teams, vendors, and business partners on resolution.
- Support user imports, reporting, testing, and other LMS administrative activities.
- Maintain assigned system configurations in accordance with established standards and operational requirements.
- Partner with stakeholders to identify opportunities for improving LMS processes and user experiences.
Process Improvement, Automation & AI
- Identify opportunities to streamline operational workflows and improve efficiency.
- Use AI-powered tools and technologies to support research, analysis, operational problem-solving, and process optimization.
- Apply familiarity with generative AI solutions such as Microsoft Copilot, ChatGPT, Claude, Gemini, or similar technologies.
- Evaluate operational processes and recommend automation opportunities while maintaining quality and governance standards.
- Analyze recurring issues and recommend scalable solutions that improve service quality and reduce manual effort.
- Stay informed about emerging technologies and recommend practical applications that improve business outcomes.
Required Qualifications
- Bachelor's degree or equivalent combination of education and relevant experience.
- Experience administering users, permissions, data, and reporting within an LMS or comparable enterprise platform.
- Exceptional attention to detail and commitment to accuracy.
- Strong analytical, troubleshooting, and problem-solving skills.
- Ability to follow documented procedures and operational standards.
- Comfort learning and using emerging technologies, including AI-powered tools, to improve productivity, operational efficiency, and customer outcomes.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft 365 applications, including Excel, Outlook, Teams, and PowerPoint.
- Demonstrated ability to collaborate effectively across multiple teams and functions.
Preferred Qualifications
- Experience supporting continuing professional education (CPE), certification, accreditation, compliance, audit, regulatory, or other governed programs.
- Familiarity with continuing education credit requirements and the importance of maintaining accurate training records.
- Hands-on experience with Microsoft Copilot, ChatGPT, Claude, Gemini, or similar AI technologies.
- Experience identifying and implementing automation opportunities to improve operational performance.
- Experience with reporting, analytics, or operational metrics.
- Experience supporting customer-facing training, education, or professional services programs.
