Position Summary

The Project Coordinator will be an integral member of the Global Centre for Research and Training in Psychological Care (G-CPC), which aims to advance high-quality clinical care, training, and research in evidence-based psychotherapeutic interventions for individuals living with cancer and other serious medical illnesses. The centre supports multiple interrelated clinical programs, training initiatives, and research projects, including the CALM (Managing Cancer and Living Meaningfully) National Program, international collaborations, and global projects delivered with programs such as the Global Institute of Psychosocial, Palliative and End-of-Life Care (GIPPEC).

The Project Coordinator will provide administrative and coordination support for the delivery of multiple clinical, research, training, and programmatic initiatives across G-CPC, with a primary focus on the CALM National Program and affiliated global CALM projects through GIPPEC. Working closely with program leadership, the Project Coordinator will have a diverse portfolio of project coordination and administrative responsibilities, facilitating day-to-day operations, communications, scheduling, and coordination across multiple initiatives. The successful candidate is a highly organized, proactive self-starter who thrives in a collaborative environment and is motivated to contribute to meaningful work that improves care for individuals living with serious illness. This role will be in a hybrid work environment, with at least 3 days per week worked on site.

Duties

  • Administrative Support
    • Coordinates meetings across multiple programs and initiatives, including internal and external meetings (granting agencies, research collaborators, and national or international dissemination partners) as delegated by G-CPC program leads.
    • Organizes meeting materials, minutes, and presentations.
    • Assists with compiling and preparing materials for external reporting and dissemination activities, as delegated by G-CPC program leads
    • Oversees planning and delivery of international/national workshops, supporting logistics, participant engagement, resource document preparation, and communication with host sites and faculty.
    • Conducts clinical triage activities within EPIC, including managing referrals and booking patients with affiliated clinicians following proactive outreach and patient consent.
  • Project Management and Process Improvement
    • Applies end-to-end project management principles (e.g., project trackers, Gantt charts, dashboards, etc.) to support team organization and efficiency across programs and initiatives.
    • Identifies and proactively escalates broader workflow or system-level issues to program leadership as appropriate and provides solutions to improve administrative practices.
  • Communication & Stakeholder Engagement
    • Communicates effectively and professionally with diverse audiences, exercising judgment and discretion when handling confidential clinical and research information.
    • Displays professionalism, respect, and empathy when interacting with patients and families facing cancer while maintaining appropriate boundaries.
    • Coordinates activities across clinical, research, and administrative functions to promote seamless program operations.
    • Supports stakeholder engagement, communications, and global planning with international training partners, faculty, and host institutions to facilitate delivery of international workshop and program activities.
  • Research & Study Coordination Support
    • Provides coordination support across multiple studies within G-CPC evaluating psychotherapeutic interventions in individuals with serious medical illnesses.
    • Supports participant recruitment activities (e.g., obtaining patient consent, scheduling, etc.) in accordance with ethic approvals and study protocols.
    • Maintain study documentation, including participant recruitment, enrollment status, maintaining study logs, and supporting data entry and visualization for internal reporting and monitoring purposes.
    • Performs cross-functional and/or other duties consistent with the job classification, as assigned or requested.
    • Works in compliance of the Occupational Health & Safety Act and its regulations, reporting hazards, deficiencies and contraventions of the Act, in a timely manner.
  • At minimum, completion of a bachelor's degree in health sciences, health administration, or recognized equivalent required.
    • Master's degree in a related field preferred.
  • At minimum over 3 years up to and including 4 years practical and related experience and/or 6 months on-the-job training required.
  • Minimum 2 years of related coordination experience, preferably in a healthcare, academic or research setting.
  • Experience supporting clinical and/or research teams is an asset.
  • Experience with project coordination or process improvement is an asset.
  • Excellent interpersonal and facilitation skills required; communicates with empathy and sensitivity with patients and families of cancer.
  • Excellent time management and organizational skills required to manage multiple ongoing projects.
  • Excellent problem recognition and resolution skills required.
  • Excellent verbal and written communication skills required; demonstrates a positive, professional and service-oriented approach.
  • Highly self-motivated and detail-oriented, with the ability to work independently.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); familiarity with EMR (EPIC) systems is an asset
