Job Description:

The IT Asset Analyst plays a vital role in supporting the end-to-end management of over 44,000 assets across SVHA’s complex healthcare, research, and aged care environment. The role is accountable for ensuring accurate, complete, and compliant management of IT assets including end-user devices, mobile fleets, medical peripherals, and licensed software.

This position is part of the Digital & Technology group and reports into the Head of End User Compute and Assets. The Analyst works within a collaborative team of specialists responsible for implementing and maturing IT Asset Management (ITAM) across the organisation. They contribute directly to enterprise initiatives that improve service delivery, reduce risk, support audit readiness, and increase cost transparency.

The role supports the implementation of enterprise-wide ITAM capabilities within the Information Technology Service Management (ITSM) platform, particularly the Hardware Asset Management (HAM) and Software Asset Management (SAM) modules and contributes to Configuration Management Database (CMDB) accuracy, lifecycle tracking, device provisioning, mobile fleet administration, and licensing compliance. The Analyst collaborates with teams across Cybersecurity, Infrastructure, Procurement, and Finance to ensure alignment and accuracy.

The IT Asset Analyst is expected to maintain a strong understanding of asset performance, identify cost savings opportunities, and contribute to continuous improvement in ITAM processes. They play an active role in managing costs across the asset portfolio, ensuring financial transparency, and highlighting opportunities for optimisation and savings.

In addition to operational duties, the role may also support project delivery by onboarding new devices, assisting with licensing transitions, contributing to process improvement initiatives, and developing documentation that supports scalable asset operations.

LEADERSHIP AND ACCOUNTABILITY

  • Take ownership for end-to-end asset lifecycle processes, ensuring data accuracy, compliance, and visibility.
  • Represent the ITAM function in meetings with stakeholders from Finance, Procurement, and Cybersecurity.
  • Act as a subject matter resource for asset lifecycle operations, reporting, and compliance.
  • Proactively identify risks and support incident response and audit preparation where asset records are required.

PEOPLE LEADERSHIP AND DEVELOPMENT

  • Share knowledge and assist in mentoring junior or new team members in ITAM practices.
  • Collaborate within the Asset Analyst team to ensure consistent standards and peer support.
  • Participate in team learning sessions and cross-skilling opportunities to enhance capability.

STRATEGY AND EXECUTION

  • Contribute to the development and implementation of the ITAM roadmap under the Head of End User Compute (EUC) and Assets.
  • Assist with the rollout and integration of ITAM modules within the new Information Technology Service Management (ITSM) platform.
  • Participate in improvement initiatives including asset discovery, CMDB uplift, and licensing optimisation.
  • Provide data insights to support technology investment planning and lifecycle forecasting.

STAKEHOLDER AND RELATIONSHIP MANAGEMENT

  • Act as a key liaison for asset-related queries from EUC, Cybersecurity, Procurement, and Finance.
  • Build relationships with vendors and support partners, including telco, software, and print providers.
  • Communicate asset status, service performance, and compliance updates to relevant stakeholders.

FINANCIAL AND RESOURCE MANAGEMENT

  • Maintain cost centre allocations for mobile services and licensing expenditure.
  • Track and report on asset depreciation, software consumption, and cost recovery where applicable.
  • Identify and recommend cost optimisation opportunities across IT asset categories.
  • Ensure clear cost visibility and financial transparency across the asset portfolio.
  • Support Procurement and Finance with accurate data for renewals, contracts, and budgeting.

GOVERNANCE, RISK AND COMPLIANCE

  • Ensure alignment with ITIL, International Organization for Standardization (ISO), and internal policy standards for asset governance.
  • Maintain audit-ready records for all asset and license records within the CMDB.
  • Contribute to cyber risk visibility through accurate asset tagging and linkage to vulnerability management platforms (e.g. Tenable).
  • Apply and maintain security classifications for assets based on sensitivity, usage, or risk profile.
  • Ensure asset record changes are aligned with ITIL-aligned Change and Configuration Management processes.
  • Proactively identify and flag licensing or asset non-compliance risks to reduce audit exposure.
  • Participate in internal audits, external compliance reviews, and control self-assessment.
  • Assist in root cause analysis and evidence provision during cyber events or regulatory audits.
  • Comply with all policies and delegations applicable to the activities and decisions required in this role.
  • Maintain audit trails for all hardware and software assets in alignment with Essential Eight compliance principles.
  • Analyse and recommend IT policies and procedures.

OPERATIONS AND SERVICE MANAGEMENT

  • Execute day-to-day asset lifecycle tasks, including provisioning, tagging, stock handling, and disposal.
  • Maintain high-quality records and ensure data integrity in ITSM across HAM/SAM modules.
  • Ensure ITAM and ITSM platforms are kept up to date with accurate and consistent tagging, status, and assignment details.
  • Actively monitor and validate asset and configuration data to support service delivery, compliance, and reporting.
  • Ensure all asset-related activities are logged and traceable to support incident and change management workflows.
  • Support IT service requests and change processes with accurate asset and licensing data.
  • Collaborate with frontline service teams to align asset activities with service delivery.

INNOVATION, RESEARCH AND KNOWLEDGE

  • Recommend improvements in ITAM processes, automation, and dashboarding.
  • Monitor industry trends in ITAM, licensing, and enterprise tooling.
  • Document and maintain standard operating procedures and knowledge base articles.
  • Support the introduction of modern tools and methods such as self-service provisioning and automated discovery.
