The Opportunity:

As a member of the Elson S. Floyd College of Medicine (ESFCOM) Office of Research, the Grants & Contracts Administrator provides pre- and post-award research administration support. In this position, you will lead complex sponsored project fiscal activities and works closely with faculty researchers and other principal investigators (PIs) throughout the grant lifecycle to provide budget planning and award management expertise.

Working under general supervision, you will report to the ESFCOM Grants & Contracts Manager and collaborate with project investigators, department administrators, and central research administration offices as part of an institutional effort to manage WSU awards in a compliant, transparent, and efficient manner.

Additionally, you will collaborate with external award sponsors, external subrecipients, and internal project teams to guide and facilitate proposal materials through pre-award systems at Washington State University (WSU). In their review of funding announcements, you will work to ensure administrative quality, completeness, and compliance of application materials with sponsor and institutional policies or requirements.

As the Grants & Contracts Administrator, you will be assigned a multi-million-dollar portfolio of active federal and non-federal awards and are responsible for a wide range of post-award activities. This includes initiation of subawards, no-cost extensions, award renewals, continuations/amendments, supplement funds, effort certification, payroll assignment/accounting, budget reporting, rebudgeting, carryforward, spend forecasting, and award closeout.

In this position, you will serve as a subject matter expert in award management. This involves, but is not limited to, reconciling contract language with award data points in Workday, analyzing fiscal data from account allocations, expense postings, encumbrances, balances, and revenue collection. You will provide a narrative of account health in meetings with PIs, make recommendations, initiate adjustments or take corrective action, and are a key contributor to the account reconciliation process.

    This is a full time (100% FTE), permanent position. This position is overtime eligible.

    Monthly Salary: $5,240 to $7,044 (Steps A-M) | Range 55 | Successful candidates are typically hired at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28.

    In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position.

    Required Qualifications:

    • A Bachelor’s degree, which includes 18 quarters or 12 semester hours in accounting, auditing, or budgeting and two (2) years of relevant professional experience, or equivalent education/experience.

    • Demonstrated knowledge in research operations, grants and contracts administration or budget/finance management or related experience.

    • Demonstrated computer skills including proficiency with Microsoft Office software including Word, Excel and Outlook and Access.

    • Knowledge of tools including database administration, electronic proposal systems or other related software.

    • Working knowledge of federal, state and sponsor regulations, guidelines pertaining to contract and grant administration.

    • Knowledge of grant and contract methods and procedures.

    Preferred Qualifications:

    • Previous higher education experience in pre- and/or post-award grants and contracts.

    • Master’s degree in business or related field.
