Role Summary
We are looking for a motivated and detail-oriented Project Management Intern to support delivery operations across software development projects. This is a hands-on role designed for someone who wants to learn project delivery from the inside - not by watching, but by doing.
You will own the operational heartbeat of our delivery team: keeping trackers up to date, supporting Agile ceremonies, maintaining our project documentation system, and making sure nothing falls through the cracks. You will work directly with the Senior PM and cross-functional teams, gaining real exposure to AI product delivery, sprint-based development, and professional project operations.
What You Will Do
1. Delivery Administration & Tracker Management
Maintain and update the Project Workbook / Master Tracker on a daily and weekly basis, reflecting current story status, sprint assignments, and blockers
Update the Decision Log, Risk & Issue Register, and Change Request log after each meeting or ceremony
Ensure all project documents are filed in the correct folder using established naming conventions (e.g. YYYY-MM-DD_Topic)
Prepare and distribute weekly status report drafts for PM review
2. Agile Ceremony Support
Document Daily Scrum meetings - record the standup agenda, capture blockers, and post the summary to the team channel
Facilitate Sprint Retrospectives - use structured formats (e.g. Start/Stop/Continue or 4Ls), capture themes, and document action items with owners and due dates
Support Sprint Planning by drafting sprint plans, capturing committed stories and capacity, and ensuring acceptance criteria are documented
Capture Sprint Review notes and update story completion status post-demo
Archive completed sprint artefacts (Sprint Plans, Retro Reports) to the correct project folder
3. Meeting Notes & Documentation
Take structured meeting notes during all project ceremonies and stakeholder sessions
Publish meeting notes within 24 hours in the 03 Meeting Notes folder using correct naming conventions
Escalate decisions and action items from meeting notes into the appropriate logs (Decision Log, RAID Log)
Support onboarding of new team members by ensuring documentation is current and navigable
4. Communication & Coordination
Send meeting reminders and agendas ahead of ceremonies
Follow up on outstanding action items and surface blockers to the PM
Coordinate logistics for sessions: scheduling, link sharing, recording management
Help maintain the team roster and stakeholder map
What You Will Learn
This role is structured as an apprenticeship, not just a support function. By the end of your internship, you will have hands-on experience with:
How software delivery projects are structured and run
Sprint-based Agile delivery: ceremonies, artefacts, and the PM role within them
Professional project documentation - what good looks like and why it matters
How to maintain a real-world RAID Log, Decision Log, and Master Tracker
Facilitation fundamentals: running structured meetings with real teams
The difference between administrative task execution and delivery thinking
What We Are Looking For
Required
Currently enrolled in a degree programme (Business Administration, IT, Engineering, Project Management, or related)
Strong attention to detail - you notice when things are missing or inconsistent
Excellent written communication - clear, concise, and professional
Comfortable working with spreadsheets (Google Sheets or Excel) and documents (Google Docs or Word)
Reliable and self-directed - you follow through without being chased
Eager to learn delivery methodology, not just complete tasks
Nice to Have
Prior exposure to Agile or Scrum (coursework, student projects, or personal study)
Familiarity with project management tools (Notion, Jira, Trello, Asana, or similar)
Basic understanding of software development or AI/tech products
Experience taking structured meeting notes in a professional or academic setting
How Success Is Measured
At the 30-day mark, you will be independently running Daily Scrums and maintaining trackers with minimal corrections. At 60 days, you will be facilitating retrospectives end-to-end and producing meeting notes that require no substantial edits. At 90 days, you will proactively surface risks and actions without being prompted, and delivery documentation will be consistently current and well-organised.
What This Role Is Not
This is not a passive observer role. You will run real ceremonies and own real artefacts from week one.
This is not a general admin role. Every task connects to delivery outcomes and project health.
This is not a solo role. You will collaborate with PMs, engineers, and product owners - strong communication matters.
How to Apply
Submit a brief cover letter (no more than one page) explaining: (1) why you are interested in project delivery and AI product work specifically, and (2) describe a time you kept something organised under pressure - a project, event, or team effort. Attach your CV.
We review applications on a rolling basis.
