JOB TITLE: Logistics Intern

TYPE OF CONTRACT: Intern

UNIT/DIVISION: Supply Chain

DUTY STATION (City, Country): Kigali, Rwanda

DURATION: 8 months

Background

The Supply Chain function supports the timely, efficient and accountable movement, storage and delivery of food, non-food items and logistics services. Reliable operational data is essential for planning, monitoring performance, anticipating constraints and supporting emergency preparedness. The intern will reinforce routine data analysis and operational follow-up while gaining practical exposure to end-to-end supply chain activities.

Purpose of the assignment

Under close supervision, the intern will support the consolidation, quality assurance, analysis and presentation of supply chain information. The assignment combines data work with practical exposure to transport, warehousing, commodity tracking, service provision and preparedness activities. It is a learning assignment and does not carry supervisory or decision-making authority.

Key responsibilities

  • Compile and clean data from operational records, spreadsheets, enterprise platforms and partner inputs; identify gaps, inconsistencies and duplicate records and follow up on corrections.
  • Support routine tracking of consignments from dispatch through receipt, including transport status, delivery timelines, outstanding documentation and exceptions requiring operational follow-up.
  • Prepare concise weekly and monthly analyses, visual summaries and management dashboards on volumes, lead times, service performance, stock movements and emerging bottlenecks.
  • Assist with transport planning and load allocation by organizing information on requirements, vehicle capacity, routes, delivery priorities and delivery schedules.
  • Support reconciliation of information across operational and financial records and maintain clear supporting documentation and audit trails.
  • Contribute to warehouse and inventory activities, including receipt and dispatch documentation, physical counts, stock reporting and investigation of variances.
  • Support demand mapping and operational planning for logistics services provided to partners, including requests, capacity, costs, service timelines and follow-up of completed services.
  • Contribute to emergency preparedness through scenario data, readiness trackers, partner and supplier mapping, and identification of potential transport, storage or staffing constraints.
  • Document recurring workflows and propose practical improvements, including simple automation or data-visualization solutions where appropriate.
  • Participate in coordination meetings, prepare action trackers and undertake other related learning tasks consistent with the purpose and level of the internship.

Expected outputs and learning objectives

  • Reliable, regularly updated operational datasets and trackers with documented validation checks.
  • Periodic analytical products that highlight trends, exceptions, risks and actions required.
  • A documented end-to-end view of at least one operational process, with feasible recommendations for improvement.
  • Practical exposure to transport, warehousing, inventory, delivery tracking, partner-service support and emergency preparedness.
  • A final learning note summarizing work completed, skills acquired and recommendations for sustaining useful tools or analyses.

Eligibility and minimum qualifications

  • Currently enrolled in, or recently graduated from, a recognized undergraduate or graduate programme in supply chain management, logistics, engineering, data science, information systems, statistics, economics, business administration or another relevant field, in accordance with the applicable internship eligibility rules.
  • Demonstrated ability to organize and analyse quantitative information using spreadsheets or comparable data-processing tools.
  • Ability to communicate clearly in written and spoken English.
  • Ability to work respectfully and effectively in a diverse team and to handle operational information with discretion.
  • Availability to work at the duty station and, where required, undertake authorized field travel.

Desirable qualifications

  • Coursework, project work or practical exposure related to logistics, transport, warehousing, inventory, procurement, humanitarian operations or emergency preparedness.
  • Experience consolidating data from several sources, conducting data-quality checks and presenting findings to non-technical colleagues.
  • Familiarity with business-intelligence, enterprise-resource-planning, mapping, database or programming tools. No prior knowledge of a specific organizational platform is required.
  • Working knowledge of French or another language relevant to the operating environment.
  • Evidence of initiative, curiosity and practical problem solving.

Competencies

  • Analytical thinking: distinguishes reliable evidence from assumptions and draws proportionate conclusions.
  • Attention to detail: checks data and documentation carefully and escalates discrepancies.
  • Communication: presents technical information in a concise and accessible manner.
  • Collaboration: builds constructive working relationships and seeks guidance appropriately.
  • Planning and accountability: organizes tasks, meets agreed deadlines and maintains clear records.
  • Integrity and respect: acts consistently with organizational values, standards of conduct and safeguarding requirements.

Supervision and performance review

The supervisor will agree a workplan and learning objectives at the start of the assignment, provide regular guidance, and review progress against the expected outputs. Access to operational information and digital tools will be limited to what is required for assigned tasks and governed by applicable data-protection and information-security rules.

Selection approach

Candidates should be assessed consistently against the published criteria. A practical exercise may be used to evaluate data organization, basic analysis and written communication. Prior exposure to the organization or to a particular internal platform should not be treated as a mandatory requirement or used as a substitute for an objective assessment of relevant skills.

Administrative conditions

  • The selected candidate must satisfy all applicable internship eligibility, medical, security and administrative requirements.
  • The internship does not create an expectation of subsequent employment.
  • Close relatives of personnel are subject to the organization’s applicable eligibility and conflict-of-interest rules.
