The Project Coordinator is responsible for coordinating and managing the day-to-day implementation of the project, ensuring activities are delivered on time, within scope, and in line with project objectives, donor requirements, and organizational standards. The role supervises and provides technical guidance to the Project Officer, ensuring high-quality community engagement and effective field implementation. In addition, the Project Coordinator monitors project progress, addresses implementation challenges, coordinates project reporting, and ensures compliance with donor and organizational policies and standards.
All staff are expected to contribute to Wahana Visi Indonesia's core approaches of Transformational Development, Advocacy, and Emergency Response. During emergencies, this role may be required to support organizational preparedness and response efforts, ensuring timely, coordinated, accountable, and high-quality delivery of humanitarian assistance in accordance with World Vision standards, donor requirements, humanitarian principles, safeguarding commitments, and applicable government regulations.
About Project:
As part of its emergency response mandate, Wahana Visi Indonesia (WVI) is implementing the Flores Earthquake Emergency Response (FOSTER) project to support children, families, and communities affected by the magnitude 7.7 earthquake that struck Flores, East Nusa Tenggara (NTT), on 15 August 2026. The earthquake caused significant impacts across multiple regencies, including damage to homes, schools, health facilities, water systems, and community infrastructure, resulting in displacement and increased humanitarian needs among affected populations.
The FOSTER project is a multi-sector emergency response and early recovery intervention implemented across affected areas in Flores. The project focuses on addressing immediate humanitarian needs while supporting community recovery and resilience. Priority interventions include Child Protection and Psychosocial Support (CP/PSS), Education in Emergencies, Water, Sanitation and Hygiene (WASH), Nutrition and Health, Shelter assistance, Multipurpose Cash Assistance (MPCA), and livelihood recovery support. Particular attention is given to vulnerable groups, including children, pregnant and lactating women, persons with disabilities, elderly people, and households experiencing severe impacts from the earthquake.
Through close collaboration with local government authorities, community leaders, churches, schools, health facilities, and humanitarian partners, the project aims to restore access to essential services, strengthen community-based protection mechanisms, support learning continuity, improve access to safe water and sanitation, and enable affected households to recover their livelihoods.
This project is subject to donor funding acquisition process. In the event that the funding agreement is not finalized, the recruitment process may be postponed or the position may not proceed. We are committed to maintaining transparent communication with all candidates throughout this process.
Strategy Development and Planning:
- Coordinate the development and implementation of detailed project work plans, ensuring alignment with project objectives, donor requirements, and organizational standards.
- Translate the project strategy into operational plans and provide technical guidance to the Project Officer during implementation.
- Coordinate with district government, village governments, schools, and partners to support the development of contingency plans, DESTANA, and SPAB.
- Monitor implementation progress, identify operational risks and bottlenecks, and recommend adjustments to project plans as needed.
- Consolidate field information, implementation data, and lessons learned to support project planning and decision-making.
- Ensure project plans incorporate cross-cutting priorities, including safeguarding, gender equality and social inclusion (GESI), community engagement and accountability (CEA), climate resilience, and localization.
- Facilitate regular planning and coordination meetings with the project team and key stakeholders.
Resource and Acquisition Management:
- Coordinate the planning and utilization of project resources, including personnel, materials, logistics, and operational support, to ensure timely implementation of project activities.
- Monitor project expenditures and procurement processes in collaboration with the Finance Coordinator and support teams, ensuring compliance with donor and organizational policies.
- Identify resource gaps and operational needs, and communicate them promptly to the Team Leader to support timely decision-making and project continuity.
Capacity Building:
- Coordinate and facilitate capacity-building activities for village governments, schools, community groups, and local partners on Infant and Young Child Feeding (IYCF), Mental Health Psychosocial Support, (MHPSS), Education in Emergency (EIE) and community resilience.
- Provide technical guidance, coaching, and on-the-job support to the Project Officer to ensure quality implementation of project activities.
- Support local government and community stakeholders in applying project tools, guidelines, and standards throughout implementation.
- Monitor the effectiveness of capacity-building activities and identify additional learning needs to strengthen project implementation.
Accountability:
- Coordinate and oversee the implementation of project activities in accordance with the approved work plan, budget, quality standards, and project timeline.
- Supervise and provide technical support to the Project Officer, ensuring effective community engagement, quality implementation, and timely completion of activities.
- Ensure safeguarding, child protection, gender equality and social inclusion (GESI), and Community Engagement and Accountability, feedback mechanism are integrated across all project activities.
- Monitor project progress, conduct regular field visits, and review implementation quality, identifying issues and recommending corrective actions where necessary.
- Facilitate coordination, reflection, and review meetings with project staff, government counterparts, and community stakeholders to capture lessons learned and inform adaptive management.
- Consolidate and review monthly, quarterly, and donor reports, ensuring timely submission and compliance with organizational and donor requirements.
Networking and Coordination Development:
- Establish and maintain effective working relationships with district government agencies, village governments, schools, local partners, and other key stakeholders to support project implementation.
- Represent Wahana Visi Indonesia in district-level coordination meetings, technical working groups, and relevant DRR forums.
- Coordinate stakeholder engagement to ensure government, community, and partner participation
- Strengthen collaboration with local organizations, community-based organizations, faith-based groups, and the private sector to leverage resources and promote project sustainability.
- Ensure consistent communication of WVI's mission, project objectives, and organizational policies to stakeholders while maintaining positive organizational relationships.
- Monitor the local operating environment, including policy developments, stakeholder dynamics, and emerging risks, and provide regular updates to the Team Leader.
Management & Leadership
- Supervise, coach, and provide day-to-day technical guidance to the Project Officer to ensure quality implementation and achievement of project targets.
- Develop and monitor team work plans, performance objectives, and regular progress reviews, providing timely feedback and support.
- Coordinate and consolidate project documentation, activity progress, and monthly reports for submission to the Team Leader.
- Foster a collaborative, accountable, and high-performing team culture while promoting Wahana Visi Indonesia's values and Code of Conduct.
- Serve as a positive role model by demonstrating professionalism, integrity, effective communication, and strong relationships with internal and external stakeholders.
- Identify, monitor, and manage project risks-including safeguarding, fraud, security, and operational risks-in accordance with organizational policies and procedures.
Requirement
- A bachelor's degree in social sciences is preferred, but candidates from other fields are also welcome.
- Minimum of 3-5 years of work experience or at least 1 year as a supervisor/coordinator in humanitarian programs.
- Preferably experienced in coordinating between sub-district and district-level government institutions and humanitarian organizations.
- Proficiency in Bahasa Indonesia is required, and knowledge of local languages in the project area is preferred. English proficiency is an added advantage
- Familiarity with the conditions of the service area.
