Customer Service & Logistics Specialist

Location: Warsaw, Poland

Department: Customer Service & Logistics

We are looking for a proactive and customer-oriented Customer Service & Logistics Specialist to join our dynamic team in Warsaw.

In this role, you will manage customer orders from entry to delivery, coordinate logistics activities, and ensure an excellent customer experience across Poland, Ukraine, and the Baltic countries . Acting as a key point of contact for customers, you will work closely with internal and external stakeholders to resolve issues, ensure smooth operations, and build strong customer relationships.

This role is ideal for someone who enjoys operational coordination, problem-solving , and working in an international, fast-paced environment where customer satisfaction and operational excellence go hand in hand.

Key Responsibilities:

Customer Service & Order Management

  • Manage the full order lifecycle, from order entry to delivery and invoicing.

  • Process customer orders accurately using Salesforce, ERP systems, and logistics tools.

  • Monitor order progress, delivery timelines, and stock availability.

  • Handle customer inquiries, delivery changes, complaints, and escalations proactively.

  • Build and maintain strong customer relationships through responsive and professional support.

  • Keep customers informed with regular updates and clear communication on their orders.

Logistics & Operational Coordination

  • Coordinate transportation activities and delivery follow-up.

  • Investigate shipment issues, delivery delays, and logistics discrepancies.

  • Collaborate with factories, warehouses, transport providers, and internal stakeholders to ensure smooth execution.

  • Support inventory and stock control activities where required.

  • Ensure compliance with internal procedures and operational guidelines.

  • Contribute to process improvement initiatives that enhance efficiency and customer satisfaction.

Finance & Administrative Support

  • Support invoice management and resolution of pricing discrepancies.

  • Assist with transactional and AP-related issues.

  • Maintain accurate customer, order, and financial data.

  • Monitor KPIs and contribute to operational performance targets.

What We Are Looking For

Required Qualifications & Experience

  • Experience in Customer Service, Order Management, Logistics, Supply Chain, or a similar operational environment.

  • Fluent Polish and English.

  • Ukrainian or Russian language skills are a strong advantage.

  • Experience working with ERP/CRM systems such as Salesforce, SAP, or iScala.

  • Strong organizational and multitasking skills.

  • Customer-focused mindset with excellent communication and relationship-building abilities.

  • Ability to work effectively in a dynamic and fast-paced environment.
