Role Overview
We are seeking a detail-oriented and organized Data Entry Specialist to join our team. In this role, you will be responsible for accurately entering, updating, verifying, and maintaining data across internal systems and databases. You will support day-to-day operations by ensuring data is accurate, complete, well-organized, and up to date.
Key Responsibilities
Data Entry & Database Management
- Accurately enter and update information into internal databases, spreadsheets, and business systems.
- Maintain and regularly update records, ensuring data is complete and accurate.
- Verify data for accuracy, consistency, and completeness.
- Identify and correct data entry errors, duplicate records, and missing information.
- Maintain organized digital records and documentation.
- Perform regular data checks and updates as required.
Document & Record Management
- Upload, organize, and maintain documents within internal systems.
- Review documents and ensure required information is captured correctly.
- Maintain accurate records of employees, candidates, clients, and business activities.
- Follow established processes for naming, storing, and managing digital files.
- Assist with data migration, database clean-up, and record management projects.
Reporting & Administrative Support
- Prepare and maintain Excel spreadsheets, trackers, and data reports.
- Generate regular reports based on information maintained in internal systems.
- Assist with data reconciliation and verification activities.
- Update dashboards, trackers, and operational reports as required.
- Support the wider team with general administrative and data-related tasks.
- Assist with ad-hoc data management and administrative projects.
Key Requirements
Qualifications & Experience
- Bachelor's degree in Business Administration, Commerce, Computer Applications, or a related field is preferred.
- 1–3 years of experience in data entry, administration, back-office operations, or a similar role.
- Previous experience working with databases, spreadsheets, CRM/ATS systems, or other business applications is desirable.
Technical Skills
- Good proficiency in Microsoft Excel, Word, and Outlook.
- Experience with Google Workspace is an advantage.
- Comfortable working with databases, CRM/ATS platforms, and other data management systems.
- Strong typing and data entry skills with a high level of accuracy.
- Basic knowledge of Excel functions, filters, sorting, and data formatting.
- Ability to work with large volumes of information while maintaining accuracy.
