Responsibilities:

    • Coordinate resource planning and staffing activities to support efficient deployment of employees across engagements, projects, and teams.
    • Maintaining accurate and timely resource information within designated scheduling and workflow tools and systems, and reinforcing consistent use of centralized RM processes and tools
    • Monitor employee utilization, availability, workload, and progress toward chargeable-hour goals.
    • Identify staffing gaps, capacity constraints, and opportunities to better balance workloads across teams.
    • Onboard and train new colleagues on scheduling processes, policies, tools, and best practices.
    • Lead and facilitate scheduling discussions with business leaders to identify resource needs, resolve staffing conflicts, and address capacity concerns.
    • Partner with Engagement Managers to determine appropriate staffing solutions based on business needs, employee experience, skills, and development goals.
    • Use scheduling, project management, and reporting tools to forecast resource needs, track scheduled versus actual utilization, and monitor headcount.
    • Review weekly staffing schedules, availability reports, and utilization data to identify trends and recommend appropriate actions.
    • Support employee reassignments related to leaves of absence, departures, organizational changes, and shifting business needs.
    • Build strong relationships with employees and leaders to support effective staffing decisions and long-term career development to understand business needs, individual skills and development goals to support thoughtful staffing decisions.
    • Support international teams and resources across different time zones as needed.
    • Participate in ad hoc projects and process improvement initiatives related to resource management and workforce planning.

Requirements:

    • Bachelor’s degree or equivalent relevant professional experience.
    • 2-3+ years of experience in professional services, project management, workforce planning, or a related field; or 1-2+ years of direct resource management, resource planning, or scheduling experience.
    • ability to exercise sound judgement, ask effective questions, and respectfully challenge or offer alternatives when staffing requests conflict with capacity, priorities or broader business needs.
    • Experience within public accounting or another professional services environment is preferred.
    • Strong organizational, time management, prioritization, and critical-thinking skills.
    • Strong analytical skills with the ability to interpret utilization, staffing, capacity, and workforce data.
    • Excellent communication and relationship-management skills, with the ability to work effectively with employees and leaders at all levels.
    • Strong client-service mindset and the ability to navigate competing priorities in a changing environment.
    • Proficiency with Microsoft Outlook, Excel, and Word.
    • Experience with resource management, scheduling, reporting, or workflow platforms; familiarity with Power BI, and CCH Workflow is a plus.
    • Ability to learn new systems quickly and train others on software functionality, processes, and best practices.
