Project & Client Operations handles all project and client administration for our consultancy practices and directly impacts our firm's financial health through efficient and swift invoice management.
Operating at the center of the firm’s contract-to-cash process, our focus is on minimizing the administrative burden on project managers and accelerating the cash collection process, all while driving operational efficiency.
We are seeking an organized and detail-oriented intern to support the Project & Client Operations team with repeatable project administration activities across Operational Excellence. This internship is designed to provide hands-on exposure to consultancy operations, project data management, financial processes and client billing support. Working under the guidance of the Team Lead, the intern will complete assigned tasks using established procedures, checklists and service standards, asking questions and escalating issues when appropriate.
Key Responsibilities
Project Assurance
- Support the processing of project setup requests in the contract-to-cash tool and D365 F&O, following established procedures and checklists.
- Assist with checking and updating project setup information, such as project structure, financial dimensions, rates, budgets, currency, payment terms and billing requirements.
- Identify missing or inconsistent information and follow up with internal stakeholders, with guidance from the Team Lead.
- Help maintain accurate project records, comments and supporting documentation in D365 F&O.
- Assist with reviewing project exception reports and correcting assigned data or configuration issues.
- Support intercompany connection requests by gathering required information and routing requests appropriately.
Transaction Assurance
- Assist with reviewing and resolving stuck time and expense transactions so they can flow into WIP and billing.
- Raise assigned purchase orders in D365 for subcontractor and project-related costs, ensuring accurate project coding.
- Maintain clear records of open items and escalate unresolved transaction issues to the Team Lead.
Portal Assurance
- Support invoice submissions through client payment portals using provided instructions and standard documentation.
- Check that required references, attachments and supporting documents are included before submission.
- Monitor assigned portal statuses and help follow up on rejected, pending or incomplete submissions.
- Escalate access issues, submission errors or client-specific questions when support is required.
Ways of Working
- Complete assigned work in line with established SOPs, SLAs, checklists and governance requirements.
- Keep trackers and task queues current, and provide clear updates on progress and outstanding actions.
- Collaborate with Project & Client Operations colleagues and ask for guidance when requirements are unclear.
- Highlight recurring errors, process gaps or system issues observed during day-to-day work.
Requirements
- Currently pursuing a degree in Business Administration, Finance, Accounting, Operations, Project Management or a related field.
- Strong organizational skills and attention to detail.
- Comfortable working with numbers, structured data and repeatable processes.
- Working knowledge of Microsoft Office, particularly Excel, Outlook and Teams; exposure to SharePoint or Power BI is helpful but not required.
- Advanced written and verbal communication skills in English.
- Ability to manage assigned tasks, follow instructions, meet deadlines and ask questions when needed.
- Interest in project administration, financial operations, billing or consultancy operations.
- Previous experience with D365 F&O or other financial systems is helpful but not required.
