Project & Client Operations handles all project and client administration for our consultancy practices and directly impacts our firm's financial health through efficient and swift invoice management.
Operating at the center of the firm’s contract-to-cash process, our focus is on minimizing the administrative burden on project managers and accelerating the cash collection process, all while driving operational efficiency.
We are seeking an organized and detail-oriented intern to support subcontractor vetting activity within Project & Client Operations. This internship offers hands-on exposure to third-party onboarding, documentation review, compliance processes and operational recordkeeping. Under the guidance of the Team Lead, the intern will help gather information, maintain accurate case records, follow up on outstanding items and escalate questions or higher-risk matters for specialist review.
Key Responsibilities
Vetting Case Support
- Assist with subcontractor vetting cases from initial request through completion, following established procedures, checklists and risk categories.
- Request information from subcontractors and internal stakeholders using approved templates, and follow up on outstanding items.
- Gather and organize required documentation, including questionnaires, company information, tax and banking details, insurance certificates, screening outputs and supporting records.
- Check submissions for completeness, currency and consistency against defined requirements, and flag missing, expired or conflicting information.
- Help ensure required internal approvals are captured before cases are closed.
Records and Reporting
- Maintain accurate vetting records in GAN and central trackers, including status, key dates, approvals, expiry dates and re-vetting requirements.
- Organize supporting evidence and maintain a clear audit trail for each assigned case.
- Monitor upcoming expiry and re-vetting dates and support follow-up activity.
- Assist with routine reporting on case status, ageing, outstanding actions and recurring documentation gaps.
Ways of Working
- Keep assigned cases moving through timely follow-up and clear progress updates.
- Escalate adverse findings, documentation concerns, higher-risk cases or matters requiring Legal, Compliance or specialist judgement.
- Handle sensitive business information carefully and follow applicable confidentiality and data-handling procedures.
- Work collaboratively with Project & Client Operations, Compliance and other internal stakeholders, asking for guidance when requirements are unclear.
Requirements
- Currently pursuing a degree in Business Administration, Compliance, Risk Management, Finance, Law, Procurement, International Business or a related field.
- Strong organizational skills and meticulous attention to detail.
- Ability to review documentation carefully, identify missing or inconsistent information and maintain accurate records.
- Advanced written and verbal communication skills in English, with a professional approach to follow-up.
- Ability to manage multiple assigned tasks, meet deadlines and escalate questions appropriately.
- Working knowledge of Microsoft Office, particularly Excel, Outlook and Teams.
- Interest in third-party vetting, compliance operations, supplier onboarding, procurement support or project operations.
- Previous experience with GAN or similar compliance, procurement or third-party management systems is helpful but not required.
