Join a close-knit healthcare team by working with us at Eartistic Sdn. Bhd. We support clinics and medical device operations across Malaysia, and we care about creating safer, kinder workplaces for clinical staff and support teams.

As our Human Resources Executive you keep the people side of the business running smoothly. You will handle day-to-day HR operations, support recruitment and training, and help maintain a calm, organised environment so clinical teams can focus on patients.

Your Growth & Impact

  • Build practical HR experience in a healthcare setting by managing payroll, benefits, and HRIS tasks. This strengthens operational HR skills that are highly transferable.
  • Expand your recruitment and onboarding skills through hands-on hiring for clinical and admin roles. You will gain exposure to interview design and candidate screening.
  • Cultivate training and development experience by running staff training sessions and induction programs. This improves your L&D capabilities.
  • Grow your professional network by working across clinical, admin, and vendor teams. You will learn to communicate with diverse stakeholders in a regulated setting.
  • Progress toward HR specialist roles by owning HR processes and showing measurable improvements in staff onboarding and retention.

Requirements

Responsibilities

HR Operations

  • Process payroll and benefits accurately using payroll systems and HRIS, ensuring timely statutory contributions. You will track leave, claims, and payroll reconciliations.
  • Maintain employee records and HR documentation with strong attention to confidentiality and data accuracy. You will update HRIS and spreadsheets regularly.
  • Coordinate recruitment logistics including job postings, interview scheduling, and offer letters. You will manage candidate communications until onboarding is complete.
  • Handle day-to-day office administration tasks that support clinics and device teams, such as equipment-related staff allocations and compliance documentation.

Talent & Learning

  • Design and run onboarding and induction programmes for new hires, ensuring clinical staff meet mandatory training requirements. You will track training attendance and outcomes.
  • Support performance management cycles by collecting appraisals, organising review meetings, and following up on development plans. You will keep managers informed of timelines.
  • Assist with learning initiatives, refresher modules, and on-the-job coaching for staff handling medical devices. You will liaise with vendors for technical and product training where needed.
  • Help measure training impact through simple metrics like completion rates and feedback summaries.

Employee Relations & Compliance

  • Act as first point of contact for employee queries, guiding staff with empathy and clear communication. You will escalate complex issues to the supervising Special Officer when appropriate.
  • Support investigations, disciplinary and grievance processes while maintaining neutrality and documentation. You will prepare clear reports for management decisions.
  • Ensure compliance with Malaysian employment regulations and internal policies, including statutory filings and workplace safety requirements. You will keep policies updated and share changes with staff.
  • Promote a positive workplace culture through regular check-ins, simple engagement activities, and clear internal communications.

Requirements

Qualifications & Experience

  • Diploma or Degree in Human Resource Management, Business, or related field. Relevant HR certifications are a plus.
  • Approximately 2 years of hands-on HR experience, ideally as an HR generalist or HR assistant in an SME organization.
  • Prior exposure to payroll processing and HR administration in Malaysia is preferred. Experience with medical device teams or healthcare settings is advantageous.
  • Comfortable working in a small to medium team and able to manage multiple administrative priorities with minimal supervision.

Hard Skills & Knowledge

  • Proficiency with payroll systems and HRIS, including payroll reconciliation and statutory contributions. Excel skills for reporting and data checks are required.
  • Solid knowledge of recruitment processes, onboarding workflows, and basic performance management tools. Familiarity with interview scheduling platforms is helpful.
  • Understanding of Malaysian employment law and statutory requirements such as EPF and SOCSO. Ability to maintain compliant HR records is expected.
  • Basic awareness of clinical environments or medical device operations to support training and rostering is beneficial.

Soft Skills & Qualities

  • Effective communication, both written and verbal, to liaise with staff, managers, and vendors. Clear, patient communication is important in healthcare contexts.
  • People oriented and discreet, able to handle confidential information with care. You should build trust quickly with staff at all levels.
  • Organised and process-minded, able to prioritise tasks and keep consistent follow-up. Attention to detail is essential for payroll and compliance work.
  • Problem-solving attitude and calm under pressure, especially when resolving employee issues or tight payroll deadlines.
