Administrative assistant

Mission

The Wind Engineering and Renewable Energy Laboratory (WIRE) at EPFL conducts internationally recognized research aimed at improving the understanding and prediction of atmospheric flows, turbulence, and wind energy systems through a combination of experimental, numerical, and theoretical approaches.

The WIRE laboratory is seeking an experienced and proactive Administrative Assistant (30-40%) to support the laboratory’s daily operations and contribute to the success of its research activities in atmospheric science, wind engineering, and renewable energy.

Main duties and responsibilities

• Manage laboratory budgets, research grants, and third-party funds, including expense monitoring, purchases, and financial forecasting.
• Prepare and oversee financial administration, including salaries, invoices, reimbursements, and credit card expenses.
• Coordinate HR-related activities, including onboarding, departures, employment contracts, and absence tracking.
• Organize travel, accommodation, and logistics for visitors, collaborators, and invited researchers.
• Provide general administrative and operational support to the laboratory and its members.

Profile

• Full proficiency in French and English, both written and spoken.
• Proven experience in an administrative role, ideally within a research or academic environment.
• Strong financial and budget management skills.
• Excellent command of Microsoft Office applications, particularly Excel, Word, and Outlook.
• Highly organized, detail-oriented, and able to manage multiple priorities independently.
• Strong interpersonal and communication skills in an international and multicultural environment.
