Customer Fulfilment Coordinator

As we continue to grow, we are looking for a part-time (25 hours per week) Customer Fulfilment Coordinator to join our team in Sedgefield. This is an important operational role, responsible for ensuring customer orders are shipped efficiently, packaged appropriately and invoiced accurately and promptly.

The Role

As Customer Fulfilment Coordinator, you will play a key role in the successful fulfilment of customer orders.

Working closely with Sales, Project Management, Finance, Stores, Purchasing, Operations and Quality, you will coordinate the final stages of the customer order process, ensuring that products are correctly prepared, documented, shipped and invoiced.

You will also act as an important point of contact for customers in relation to order status, shipping queries and documentation.

This is a varied role that requires excellent organisation, attention to detail and the ability to manage competing priorities in a fast-paced manufacturing environment.

Key Responsibilities

• Prepare and manage shipping documentation, ensuring accuracy and compliance with customer and regulatory requirements, including export controls.
• Liaise with logistics providers and the Stores team to arrange timely and cost-effective collection and delivery of goods.
• Generate and issue accurate customer invoices in line with agreed pricing, terms and despatch details.
• Ensure invoicing is completed promptly to support efficient cash collection.
• Act as a key point of contact for customers regarding final order status, shipping queries and documentation.
• Investigate and resolve shipment or invoice discrepancies quickly to minimise delays to delivery or payment.
• Maintain accurate records of shipments, invoices and customer communications.
• Work closely with Sales, Project Managers, Finance and Stores to ensure the seamless execution of customer shipments.
• Coordinate with Purchasing regarding packaging stock levels and suitable re-order points.
• Coordinate with Operations regarding customer shipping schedules, availability of finished goods and packaging requirements.
• Carry out final outgoing inspection of finished goods as required.
• Access and update customer shipping portals as required.
• Generate and issue manual invoices to support customer loan assets as requested by the Business Development team.
• Support the creation and maintenance of customer shipping plans and processes.
• Support customer returns, working closely with the Quality team on return-to-supplier activities.

Requirements

We are looking for an organised and detail-focused individual who takes ownership of their work and is committed to providing a high standard of customer service.

You will be comfortable working across different teams and communicating with customers, logistics providers and internal stakeholders. You will have a proactive approach to resolving issues and be able to manage multiple priorities and deadlines while maintaining accuracy.

You will have:

Strong attention to detail, particularly when managing documentation and financial information.

• Excellent organisational skills and the ability to manage multiple priorities and deadlines.
• A good understanding of shipping and logistics processes and documentation.
• The ability to communicate effectively with customers and colleagues across different functions.
• A proactive approach to problem-solving.
• Experience using ERP systems.
• Experience in a supply chain, customer fulfilment, sales or similar operational environment.
• Proficiency in Microsoft Word, Excel and PowerPoint.
• The ability to work independently and contribute effectively as part of a collaborative team.

Experience of working within a manufacturing or engineering environment would be desirable.
