Job Summary

We are seeking an experienced, highly professional Corporate Receptionist | Office Administrator to support the Austin corporate office of a Fortune 500 organization. This highly visible position serves as a key point of contact for senior executives, employees, business partners, vendors, and guests and plays an important role in delivering an exceptional workplace experience.

The ideal candidate brings 3+ years of experience supporting senior executives, their teams, and executive-level guests in a corporate or similarly professional environment. This individual must demonstrate exceptional professionalism, discretion, judgment, and customer service, along with the ability to independently identify and resolve day-to-day workplace challenges.

In addition to overseeing the headquarters reception and lobby experience, this position will provide direct administrative support to the Workplace Services Manager, assisting with calendars, email, office activities, vendor and property management coordination, correspondence, and other administrative responsibilities.

This role is primarily based in the Corporate Lobby, requiring the employee to manage most responsibilities from the reception area while maintaining a polished, welcoming, and highly professional environment.

Work Schedule: Monday-Friday, 7:00 a.m.-4:00 p.m.

What a typical day looks like:

Executive, Employee & Guest Experience

  • Serve as the primary reception and hospitality point of contact for Corporate Headquarters, creating a welcoming and professional experience for executives, employees, candidates, customers, vendors, and other guests.
  • Provide a high level of service to senior executives and their teams, anticipating needs and responding with professionalism, urgency, and discretion.
  • Coordinate visitor arrivals, guest access, meeting logistics, and other front-of-house requirements.
  • Maintain awareness of daily executive and office activities to proactively prepare for visitors, meetings, events, and changing workplace needs.
  • Handle confidential, sensitive, and executive-level information with the highest degree of discretion and sound judgment.
  • Maintain a professional and organized lobby and reception environment that appropriately represents the company's corporate headquarters.

Workplace Services & Administrative Support

  • Provide direct administrative support to the Workplace Services Manager, including calendar management, email coordination, scheduling, correspondence, documentation, and follow-up.
  • Assist with planning and coordinating office activities, meetings, events, and workplace initiatives.
  • Communicate professionally with property management, building operations teams, service providers, contractors, and vendors.
  • Track requests, commitments, and outstanding action items and proactively follow through to resolution.
  • Prepare and maintain correspondence, records, schedules, contact information, and other administrative documentation.
  • Support coordination of office services, supplies, amenities, facilities requests, and other workplace needs.
  • Assist with special projects and additional administrative responsibilities as needed.

Office Operations & Problem Solving

  • Serve as a central point of contact for day-to-day workplace questions, concerns, and service needs.
  • Independently assess and resolve routine office challenges, engaging the appropriate internal or external resources when escalation is necessary.
  • Take ownership of issues through resolution rather than simply redirecting requests.
  • Develop strong working relationships with executive assistants, Workplace Services, Security, IT, property management, vendors, and other business partners.
  • Identify opportunities to improve office processes, service delivery, and the overall employee and guest experience.
  • Balance multiple priorities in a fast-paced corporate environment while maintaining a calm, organized, and customer-first approach.

What we're looking to add to our team:

  • 3+ years of professional experience in corporate reception, office administration, executive support, workplace services, hospitality, or a related role.
  • Demonstrated experience supporting senior executives, executive staff, and executive-level guests in a professional corporate environment.
  • Exceptional professionalism, interpersonal skills, and customer-service orientation.
  • Strong judgment and demonstrated ability to handle confidential and sensitive information appropriately.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Ability to independently prioritize responsibilities, solve problems, and make sound decisions.
  • Ability to remain composed and professional while managing competing priorities and unexpected situations.
  • Proficiency with Microsoft Outlook and standard Microsoft Office applications, including calendar and email management.
  • Experience coordinating with property management, facilities teams, vendors, or service providers preferred.
  • Must be comfortable performing the majority of daily responsibilities from the Corporate Lobby/reception area.
  • Reliable and consistent attendance during the established Monday-Friday, 7:30 a.m.-4:00 p.m. schedule is required.
  • Must obtain and maintain Notary Public certification following hire.
