POSITION SUMMARY:

The Production & Maintenance Coordinator plays a critical role in supporting plant operations through production reporting, maintenance planning coordination, asset inventory management for the maintenance team, and office administrative support. This position serves as a key liaison between Production, Maintenance, and Plant Leadership by ensuring accurate operational reporting, supporting preventive maintenance activities, coordinating inventory and purchasing needs, and maintaining administrative processes that keep the facility operating efficiently.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced manufacturing environment. This role requires strong analytical skills, proficiency in reporting and data management, and the ability to coordinate activities across multiple functions.

ESSENTIAL FUNCTIONS:

    Maintenance Planning and Coordination

    • Coordinate preventive and corrective maintenance activities with maintenance personnel and external service providers.

    • Develop and maintain maintenance schedules, calendars, and planning documents.

    • Create, monitor, and close maintenance work orders within CMMS (MaintainX).

    • Track maintenance backlog and assist with prioritization of work activities.

    • Coordinate equipment service visits, planned shutdowns, and vendor activities.

    • Maintain maintenance records, equipment files, service histories, and related documentation.

    • Weekly reporting of maintenance KPI’s

    • Order maintenance, repair, and operations (MRO) supplies, materials, and replacement parts.

    • Monitor inventory levels and initiate replenishment requests to support maintenance operations.

    • Track purchase orders, deliveries, and maintenance-related expenditures.

    • Assist with equipment documentation, warranties, and asset records.

    • Support initiatives that improve equipment reliability, maintenance effectiveness, and operational efficiency.

    Production Administration

    • Generate, compile, and distribute daily, weekly, and monthly production reports.

    • Analyze production data and prepare operational performance summaries for plant leadership.

    • Maintain production records, databases, and other operational documentation.

    • Track and report key performance indicators (KPIs), including production output, downtime, efficiency, and labor utilization.

    • Reconcile production information from multiple sources to ensure reporting accuracy.

    • Assist with inventory tracking, material usage reporting, and production schedule updates.

    • Prepare presentations, dashboards, and reporting materials for leadership meetings.

    • Support continuous improvement initiatives through data collection and reporting.

    Administrative Support

    • Provide general administrative support to the Plant Manager and site leadership team.

    • Process and distribute incoming mail, packages, and shipments.

    • Maintain attendance records, timekeeping documentation, and employee files as assigned.

    • Schedule meetings and coordinate invitations, agendas, and meeting logistics.

    • Answer and direct incoming telephone calls and visitors.

    • Order office supplies and maintain administrative inventories.

    • Assist with filing, record retention, and document management.

    • Manage company uniform program, including ordering, distribution, inventory control, and coordination with vendors to ensure all employees are properly equipped.

    • Oversee onsite employee parking management, including space allocation, access coordination, and issue resolution.

    • Coordinate onsite interview logistics, including room setup, candidate reception, and interviewer alignment to ensure a positive candidate experience.

    • Other work-related duties as assigned

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

    • Associate or Bachelors degree in Business Administration, Operations Management, Industrial Technology, or equivalent work-related experience

    • Minimum of five years of experience in manufacturing, production administration, maintenance coordination, operations support, or a related administrative role.

    • Experience managing multiple priorities in a fast-paced operational environment.

    • Strong proficiency with Microsoft Office applications, particularly Excel.

    • Excellent organizational, communication, and problem-solving skills.

    • Experience preparing reports and maintaining operational records.

    • Ability to work independently and collaboratively across multiple departments.

    • Experience supporting maintenance planning or manufacturing operations.

    • Experience using computerized maintenance management systems (CMMS).

    • Experience with inventory management, purchasing, and vendor coordination.

    • Knowledge of production reporting, operational metrics, and manufacturing processes.

Vision and auditory demands are continuous.

    Must possess effective verbal and written communication skills; good interpersonal skills with the ability to collaborate and interact professionally with a diverse group of people; ability to handle irate customers, visitors and callers.
