The Opportunity

We are looking for a proactive and highly organized Office Administrator to support the day-to-day operations of our Operational Unit. Acting as a key point of contact for internal and external stakeholders, you will provide essential administrative support, helping to ensure the office runs efficiently and professionally.

In this varied role, you will coordinate meetings and travel, manage documentation and records, support internal communications, and assist with general office administration. You will work closely with managers and teams across the business, contributing to a positive, collaborative, and well-organized working environment.

The successful candidate will have strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Previous administrative experience and proficiency with Microsoft Office applications are essential.

Your Responsibilities

  • Provide comprehensive administrative support to managers and teams within the Operational Unit, ensuring the smooth day-to-day running of office activities.

  • Coordinate calendars, meetings, workshops, and business events, including scheduling, logistics, and meeting documentation.

  • Prepare, format, manage, and maintain business documents, records, reports, and filing systems in line with company requirements.

  • Act as a key point of contact for internal and external stakeholders, supporting effective communication and information flow.

  • Coordinate travel arrangements, expense administration, and other business support activities for team members and managers.

  • Manage office facilities, supplies, and equipment, ensuring a professional, safe, and efficient working environment.

  • Support onboarding activities for new employees and assist with employee engagement and team events.

  • Process purchase requests, invoices, and administrative transactions in accordance with company procedures.

  • Maintain confidentiality of sensitive business information and ensure compliance with Hitachi Energy policies and processes.

  • Identify opportunities to improve administrative processes and contribute to increased operational efficiency and effectiveness.

Your Background

  • Previous experience in an Office Administrator, Administrative Assistant, Executive Assistant, or similar business support role.

  • Strong organizational and time management skills with the ability to prioritize multiple tasks effectively.

  • Excellent communication and interpersonal skills with a customer-focused approach.

  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.

  • Experience coordinating meetings, travel arrangements, and office administration activities.

  • High attention to detail and ability to maintain accurate records and documentation.

  • Ability to work independently while collaborating effectively with cross-functional teams.

  • Professional, proactive, and adaptable approach to changing business requirements.

  • Experience working within a fast-paced operational or corporate environment is desirable.

  • Fluent written and verbal English communication skills.
