Accounting Associate

We are seeking a detail-oriented Accounting Associate to support our finance team by processing Accounts Payable (AP) and Accounts Receivable (AR) transactions, maintaining accurate financial records, and assisting with routine reporting. This role is ideal for an accounting professional with strong organizational skills who enjoys working in a fast-paced environment and contributing to the accuracy of day-to-day financial operations.

Key Responsibilities:

• Accounts Payable
• Process vendor invoices and ensure accurate coding and entry into the accounting system
• Match invoices with purchase orders and supporting documentation
• Prepare and process payments to vendors within established timelines
• Monitor outstanding payables and assist in resolving invoice discrepancies
• Maintain organized records of invoices, payments, and vendor communications
• Accounts Receivable
• Generate and distribute customer invoices
• Record customer payments and apply them accurately to customer accounts
• Monitor outstanding receivables and assist with collection efforts
• Investigate and resolve billing issues, payment discrepancies, and customer inquiries
• Maintain accurate customer account records
• Reporting & Accounting Support
• Assist with monthly reconciliations of accounts and financial records
• Prepare routine financial and operational reports
• Support month-end and year-end closing activities
• Maintain and update accounting schedules and spreadsheets
• Ensure compliance with company accounting policies and procedures
• Assist with audit requests and documentation preparation as needed
• Administrative Support
• Maintain organized financial files and supporting documentation
• Collaborate with internal departments regarding billing, payments, and account inquiries
• Support special projects and other accounting-related tasks as assigned

Requirements

Required Qualifications:

• 1-3 years of experience in accounting, bookkeeping, AP, AR, or related finance functions
• Basic understanding of accounting principles and financial processes
• Proficiency in Microsoft Excel, including formulas, sorting/filtering, and basic reporting
• Strong attention to detail and accuracy
• Excellent organizational, communication, and problem-solving skills
• Ability to manage multiple priorities and meet deadlines

Preferred Qualifications:

• Bachelor's degree in Accounting, Finance, or a related field
• Experience using accounting software or ERP systems such as QuickBooks, NetSuite, Xero, Microsoft Dynamics, or similar platforms
• Experience supporting AP and AR functions
• Exposure to account reconciliations and basic financial reporting
