Key Responsibilities:
  • Welcoming visitors and directing them to the relevant departments.
  • Managing a busy 20-extension switchboard, transferring calls and taking messages.
  • Handling customer enquiries and following up on outstanding payments.
  • Managing incoming mail, deliveries and courier collections.
  • Ensuring the reception area is kept neat and presentable.
  • General administrative duties, including scanning, photocopying and responding to emails.
  • Completing Goods Received Notes for stock received.
  • Printing and distributing order sheets and payment documents to the sales team.
  • Recording orders on the sales order log.
  • Emailing order confirmations and payment requests to customers.
  • Sending internal stock orders to the factory.
Requirements:
  • Minimum 3 years' reception, administration or customer service experience.
  • Excellent communication skills and a professional telephone manner.
  • Strong customer service skills.
  • Well-organised, energetic and able to multitask.
  • Good computer literacy and attention to detail.
  • Ability to work independently and take initiative.
  • Experience handling customer queries and following up on payments would be advantageous.
