This remote role serves as a key operational anchor for a fast-paced logistics environment. You’ll coordinate administrative workflows, transportation activities, facilities, vendors, and compliance-related processes. The position combines organization, problem-solving, communication, and technology to keep daily operations running smoothly. You’ll work across internal teams, leadership, and external partners while managing multiple priorities with strong attention to detail. You’ll also use reporting dashboards and AI-enabled tools to identify inefficiencies and improve processes. This is an opportunity for a proactive professional to take ownership, prevent issues before they escalate, and help build smarter, more scalable operations.
Accountabilities
- Organize administrative workflows, maintain documentation, and verify compliance reports to ensure operational processes remain accurate and accountable.
- Coordinate daily transportation and dispatch activities, including scheduling and tracking fleet maintenance requirements.
- Manage facilities-related requests, maintenance tickets, supply needs, and vendor communications, following through until issues are fully resolved.
- Build and maintain effective relationships with internal teams, leadership, vendors, and other external stakeholders.
- Monitor operational performance through reporting dashboards, track key metrics, and identify discrepancies or areas requiring attention.
- Document workflows and identify opportunities to improve, automate, and scale administrative and operational processes.
- Leverage AI-enabled productivity tools to streamline repetitive work, improve information management, and support better decision-making.
- Manage competing priorities proactively, escalating risks and unresolved issues when appropriate.
- Maintain accurate records and ensure that operational information is communicated clearly and on time.
- 1-3 years of relevant professional experience in administrative operations, logistics, coordination, vendor management, or a similar operational role.
- Strong organizational skills with the ability to manage multiple priorities, schedules, documentation, and follow-ups simultaneously.
- Demonstrated proactive problem-solving ability, with a strong sense of ownership and persistence in resolving operational gaps or discrepancies.
- Exceptional attention to detail and accuracy when reviewing reports, spreadsheets, compliance documentation, and schedules.
- Excellent English communication skills, both written and verbal, with confidence interacting with leadership, internal teams, and external vendors.
- Strong proficiency with Google Workspace and familiarity with CRM platforms such as Salesforce or HubSpot.
- Comfortable using AI productivity tools such as ChatGPT, Gemini, or Claude to improve efficiency and streamline workflows.
- Ability to work independently in a remote environment while maintaining responsiveness, accountability, and strong follow-through.
