This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Payroll Manager based in the United States.
As a Payroll Manager, you will own end-to-end payroll operations for a growing global workforce spanning North America, EMEA, and APAC. You will oversee complex, multi-entity payroll processes while ensuring accuracy, regulatory compliance, and a seamless employee experience. This high-visibility role sits at the intersection of HR, Finance, Accounting, and compliance, giving you significant influence over payroll strategy and operations. You will support labor cost planning, financial reporting, audits, systems integrity, and process optimization. The role offers substantial ownership as payroll operations evolve alongside organizational growth. Accountabilities:
- Own end-to-end semi-monthly and monthly payroll processing for employees and contractors across multiple entities and jurisdictions in the United States and Canada.
- Oversee payroll operations across international regions, including India and the UK, working with regional partners to maintain consistency, compliance, and effective cross-border processes.
- Ensure timely and accurate payroll tax filings, withholdings, registrations, wage reporting, and compliance with applicable federal, state, and local requirements.
- Reconcile payroll liabilities, including taxes, benefits, garnishments, and other deductions, in close collaboration with HR and Finance.
- Partner with Accounting to reconcile payroll journal entries and ensure labor expenses are accurately classified across entities and cost centers.
- Maintain accurate employee compensation, deductions, benefits, and payroll-related data in partnership with HR.
- Manage HSA contribution uploads and coordinate accurate, timely funding with benefits and banking partners.
- Oversee UK pension import and submission processes, supporting compliance with applicable auto-enrollment requirements.
- Coordinate labor cost allocation from timesheet systems into ERP platforms and appropriate cost centers.
- Work with Accounting, FP&A, and Project Accounting teams on direct and indirect labor allocation, forecasting, headcount planning, and budget management.
- Prepare payroll metrics, management reports, reconciliations, and documentation required for financial reviews and audits.
- Reconcile payroll information across payroll, ERP, banking, and financial systems, including platforms such as ADP and Ramp.
- Lead payroll system automation, optimization, migration, and process improvement initiatives while maintaining data accuracy and continuity.
- Establish and maintain strong payroll controls, approval processes, documentation standards, and general ledger coding practices.
- Lead payroll-related activities for internal and external audits, identify control gaps, and implement corrective actions.
- Coordinate with external accountants, tax advisors, and other partners regarding payroll filings, registrations, and compliance obligations.
- Serve as the escalation point for employee payroll questions, providing clear, timely, and professional support while protecting confidential information.
- Bachelor’s degree in Accounting, Finance, Human Resources, or a related discipline.
- 7+ years of progressive payroll experience in a multi-state, multi-entity environment.
- Experience supporting payroll operations across North America, with EMEA and/or APAC exposure strongly preferred.
- Strong understanding of U.S. payroll tax laws, regulatory requirements, wage reporting, and compliance processes.
- Experience with multi-currency payroll and foreign exchange considerations.
- Familiarity with UK and/or India payroll regulations is advantageous.
- Hands-on experience with timesheet systems, labor cost allocation, payroll journal entries, and financial reconciliations.
- Advanced Excel skills, including pivot tables, data validation, reconciliation, analysis, and reporting.
- Proficiency with ADP Workforce Now or a comparable enterprise payroll platform.
- Experience working with ERP systems, particularly NetSuite, is preferred.
- Familiarity with Ramp or similar modern financial platforms is a plus.
- Understanding of GDPR and data privacy requirements relevant to international payroll operations.
- Knowledge of project-based cost allocation, indirect rate structures, and labor forecasting is beneficial.
- Strong analytical and organizational skills with exceptional attention to detail.
- Excellent communication skills and the ability to collaborate effectively across HR, Finance, Accounting, FP&A, and external partners.
- High level of discretion and professionalism when handling sensitive employee, payroll, financial, and compensation information.
- Certified Payroll Professional (CPP) and/or Global Payroll Management (GPM) certification is preferred.
- Annual salary range of $90,000-$105,000, depending on qualifications, experience, market conditions, and location.
