Project Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Coordinator based in India.

This is a remote opportunity supporting Customer Success and Professional Services teams in a fast-paced technology environment.

The role serves as an operational backbone, helping keep project, ticket, documentation, and service workflows organized and on schedule.

You will work closely with Project Managers and Technical Leads to coordinate estimates, meetings, client communications, and project information.

The position also provides exposure to services operations, reporting, timesheet management, CRM data quality, and process improvement.

It is well suited to an early-career professional who is highly organized, curious, and eager to understand how software projects are delivered.

You will gain hands-on experience across the full lifecycle of technical projects while working with distributed teams and multiple digital tools.

Accountabilities

• Monitor incoming customer tickets and project requests across multiple client accounts, ensuring requests are captured and organized appropriately.
• Extract relevant information from tickets and format requests according to established workflow templates.
• Coordinate with Technical Leads to obtain effort estimates and facilitate communication between Project Managers and technical teams to refine requirements.
• Track estimate status and follow up to ensure timely completion and support Project Managers in communicating estimates to clients.
• Schedule internal and client meetings across multiple time zones, ensuring the right stakeholders are included.
• Attend meetings when required and produce clear, structured, and actionable notes.
• Maintain and update client documentation in Confluence, ensuring project information remains accurate, current, and accessible.
• Support Project Managers across their respective client portfolios and help coordinate day-to-day project workflows.
• Assist with workflows and task management across tools such as Asana, Zendesk, Everhour, and related systems.
• Identify opportunities to improve processes as familiarity with workflows grows, particularly as automation is introduced.
• Prepare weekly and monthly operational reports covering relevant service and project metrics.
• Monitor daily timesheet submissions, follow up on missing or incomplete entries, and support accurate time tracking.
• Maintain the accuracy and completeness of client records in HubSpot CRM.
• Provide broader operational support to Customer Success and Professional Services leadership as required.

Requirements

• 1-3 years of professional experience in a business, services, technology, or similarly structured environment.
• Bachelor’s degree or equivalent professional experience.
• Exceptional organizational skills with strong attention to detail and accuracy.
• Excellent written and verbal English communication skills.
• Ability to manage multiple priorities, deadlines, clients, and workflows simultaneously.
• Comfortable working across multiple business and collaboration tools, including Slack, Asana, Confluence, Zendesk, Everhour, and Microsoft Office.
• Self-directed and dependable, with the ability to work independently without close supervision.
• Strong follow-up and coordination skills, with a proactive approach to identifying issues before they become urgent.
• Genuine curiosity about software projects, professional services, project delivery, and operational processes.
• Previous experience in a software company, agency, professional services environment, support organization, or project coordination role is a plus.
• Familiarity with customer support tickets, project coordination, estimation, or services delivery is desirable.
• Demonstrated willingness to learn and develop toward more strategic responsibilities.
• Reliable internet connection and an appropriate home-office setup for remote work.
• Ability to work hours that provide overlap with an Eastern Time-based North American team.
