This role provides essential coordination and administrative support within a fast-paced Talent Acquisition environment.
You will serve as a key point of contact between candidates, recruiters, hiring managers, and interview teams.
Your work will help ensure interviews are scheduled efficiently and candidates receive a professional, well-organized experience.
The position combines scheduling, candidate logistics, documentation, problem-solving, and customer service responsibilities.
You will manage multiple priorities while maintaining accuracy, confidentiality, and attention to detail.
The role also offers opportunities to contribute to special projects and broader staffing initiatives.
This is a virtual position with periodic visits to a Baltimore, Maryland site required.
Accountabilities
Coordinate candidate and interviewer availability and schedule interviews efficiently across multiple stakeholders.
Prepare and distribute calendar invitations, interview confirmations, and relevant scheduling details to candidates and interview teams.
Coordinate candidate travel arrangements when required and initiate related expense reimbursement processes.
Resolve scheduling and coordination challenges by applying established procedures, available tools, training, and sound judgment.
Maintain a high level of speed, accuracy, professionalism, and customer service throughout the recruiting process.
Use organizational systems and Microsoft Office applications to maintain accurate, complete, and well-organized records.
Maintain confidentiality when handling candidate, employee, recruiting, and other sensitive information.
Support special projects and staffing initiatives as needed, contributing to broader Talent Acquisition activities.
Collaborate effectively with recruiters, hiring managers, candidates, and team members in a high-volume environment.
High school diploma or GED plus at least 4 years of relevant work experience, or an Associate’s degree plus 2 years of relevant experience, or a Bachelor’s degree with no additional experience required.
Previous experience in HR, Talent Acquisition, administrative coordination, scheduling, or a closely related function.
Proficiency with Microsoft Office Suite.
Strong organizational and time-management skills, with the ability to manage multiple projects and priorities simultaneously.
Excellent attention to detail and a process-oriented approach to maintaining accurate information.
Strong written and verbal communication skills and a demonstrated commitment to providing excellent customer service.
Ability to work effectively in a fast-paced, team-oriented environment while maintaining accuracy and responsiveness.
Experience supporting Talent Acquisition interview scheduling is preferred.
Familiarity with Workday or Eightfold is preferred.
Experience coordinating interviews within a large organization is highly desirable.
Ability to periodically visit the Baltimore, Maryland site despite the primarily virtual work arrangement.
Annual salary range of $46,700-$77,900, depending on factors such as experience, education, skills, responsibilities, and market conditions.
