This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Senior Administrative Partner, Leasing based in the United States.

This is a high-impact administrative and project support role partnering closely with a senior executive and leadership teams within a dynamic leasing organization.

You will serve as a trusted operational partner, helping manage priorities, schedules, communications, projects, and critical business activities.

The role combines executive support, project coordination, research, reporting, and cross-functional collaboration.

You will work with internal leaders, external partners, and tenant stakeholders while handling confidential information with professionalism and discretion.

Success requires strong judgment, exceptional organization, proactive problem-solving, and the ability to anticipate needs in a fast-moving environment.

The position is remote and operates within a flexible, technology-enabled workplace designed to support collaboration across locations.

Accountabilities

    • Provide high-touch executive and administrative support to the SVP of Lifestyle Leasing, serving as a trusted partner in managing priorities, initiatives, schedules, and follow-up activities.

    • Manage complex and frequently changing calendars, ensuring meetings are appropriately prioritized and agendas, materials, and supporting information are prepared in advance.

    • Attend confidential and senior-level meetings, capture key decisions and action items, distribute follow-ups, and monitor completion of commitments.

    • Coordinate closely with executive assistants and leadership partners to ensure deadlines, deliverables, responsibilities, and upcoming priorities remain visible and well managed.

    • Act as a liaison across functions reporting to the SVP, helping prioritize urgent matters and ensuring critical business needs receive timely attention.

    • Coordinate and project-manage multi-department initiatives, special assignments, and executive priorities from planning through completion.

    • Prepare customized presentations, executive decks, reports, and meeting materials for leadership discussions and business reviews.

    • Plan and coordinate logistics for tenant tours, market visits, annual team meetings, industry events, and other important business activities, including occasional onsite participation.

    • Communicate with tenant partners and external stakeholders to share information, coordinate meetings, and support productive relationships.

    • Maintain departmental goal scorecards, monitor key objectives, and prepare monthly status updates for senior leadership.

    • Support tracking of renewals, new deal production, and other business performance metrics used to evaluate team progress.

    • Conduct research, analysis, and special projects as requested by leadership, translating information into clear and useful insights.

    • Provide occasional onsite administrative support for executive meetings, budget discussions, industry events, and other special team activities.

    • Provide backup support to the executive assistant supporting the broader commercial leadership organization when needed.

    • Support direct reports of the SVP with cross-functional coordination, presentations, travel planning, expense management, and other administrative requirements.

    • Identify opportunities to improve administrative processes, anticipate leadership needs, and proactively recommend solutions.

    • Requirements

      • Associate degree or higher in business or a related field, or equivalent relevant professional experience.

      • At least 6 years of experience providing administrative, executive, or project support within a professional environment.

      • Demonstrated ability to support senior executives and manage complex, high-volume schedules with changing priorities and time-sensitive deliverables.

      • Highly resourceful, proactive, and independent, with the ability to anticipate needs, operate with minimal direction, and manage multiple priorities effectively.

      • Strong executive communication skills, including the ability to provide concise summaries, manage up, and communicate confidently with senior leaders and external stakeholders.

      • Exceptional organizational skills and attention to detail, with a proven ability to coordinate projects, deadlines, meetings, travel, expenses, and follow-up activities.

      • Strong interpersonal and relationship-building skills, with the ability to work effectively with employees, executives, C-suite leaders, tenants, and external partners.

      • Proven discretion and sound judgment when handling confidential information and sensitive business matters.

      • Strong problem-solving and decision-making abilities, combined with a customer-service-oriented mindset and a sense of urgency.

      • Strong written and verbal communication skills, with the ability to prepare polished presentations, reports, executive summaries, and business correspondence.

      • Experience managing budgets, expenses, travel arrangements, and complex logistics.

      • Strong research and analytical capabilities, including the ability to understand and synthesize diverse business information and performance data.

      • Proficiency with AI-enabled productivity tools, Microsoft Excel, Word, and PowerPoint.

      • Ability to work collaboratively in a cross-functional environment while maintaining accountability for independent deliverables.
