What this job involves:
As a Facilities Assistant cum Cashier/Mailroom Lead, you'll serve as a vital connection point between our back-of-house operations and the seamless daily experiences of building occupants. This multifaceted role combines financial transaction management, mail and package coordination, and facilities support to ensure our workspace runs smoothly and efficiently. You'll manage cash handling procedures with precision, oversee mailroom operations from sorting to distribution, and provide responsive facilities assistance that keeps our environment welcoming and functional. What your day-to-day will look like:
- Process cash transactions accurately, maintain detailed financial records, and prepare daily reconciliation reports to ensure complete accountability and transparency
- Oversee all mailroom operations including receiving, sorting, logging, and distributing incoming and outgoing mail, packages, and courier deliveries in a timely manner
- Coordinate with courier services, manage package tracking systems, and ensure proper documentation of all shipments and deliveries
- Respond to facilities-related requests and inquiries from building occupants, providing prompt assistance and escalating issues to appropriate team members when needed
- Maintain organized records of cash transactions, mailroom logs, and facilities work orders using designated management systems and software
- Conduct regular inventory checks of mailroom supplies, petty cash funds, and facilities materials, placing orders as necessary to maintain adequate stock levels
- Support building access coordination by assisting with visitor registration, temporary pass issuance, and communication with security teams
- Ensure mailroom and reception areas remain clean, organized, and professionally presented at all times
Required qualifications:
- High school diploma or equivalent educational qualification
- Minimum 2 years of experience in cashier, mailroom, or facilities support roles, preferably within commercial real estate or corporate environments
- Proven track record of handling cash transactions with accuracy and maintaining proper financial documentation
- Strong organizational skills with demonstrated ability to manage multiple tasks and priorities simultaneously
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn property management or mailroom tracking software
- Excellent communication skills with a customer service-oriented approach to supporting building occupants and visitors
- High level of integrity, discretion, and trustworthiness when handling financial transactions and sensitive correspondence
Preferred qualifications:
- Associate degree in business administration, facilities management, or related field
- Experience using computerized mailroom management or package tracking systems
- Familiarity with basic facilities operations, including work order systems and vendor coordination
- Previous experience in a commercial office building or property management environment
