This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Estate Planning and Trusts Legal Assistant based in United States.

This is a remote opportunity to support a growing legal practice focused on estate planning, probate, wills, and trusts. You will play an important role in preparing legal documents, managing case files, coordinating client communications, and keeping matters moving efficiently from intake through completion. The position combines legal drafting, trust administration, probate support, document review, and day-to-day case management. You will work directly with clients and legal professionals, requiring strong judgment, organization, responsiveness, and attention to detail. The role is well suited to an experienced legal professional who can work independently while maintaining high standards of accuracy and service. Accountabilities:

    • Draft estate planning documents, including wills, trusts, and related legal forms.
    • Prepare and maintain trust accountings, supporting documentation, and related records.
    • Assist with trust administration matters throughout the lifecycle of a case, from intake through accounting and closing where applicable.
    • Prepare probate pleadings, filings, and supporting legal documentation.
    • Manage legal files, case documentation, deadlines, and workflow tasks throughout each matter.
    • Review legal documents for completeness, accuracy, formatting, and consistency before submission.
    • Proofread correspondence, pleadings, and other legal documents to ensure high-quality and error-free work.
    • Communicate directly with clients by phone, email, and video conferencing regarding case status, documentation requests, and next steps.
    • Conduct timely client outreach and follow-up while maintaining a professional and responsive client experience.
    • Accurately record and track billable and non-billable time.
    • Maintain organized and up-to-date records within Clio and other legal practice management or CRM systems.
    • Support attorneys with legal research, administrative activities, document preparation, and case management as needed.
    • Monitor deadlines and outstanding tasks to ensure matters progress efficiently and required follow-ups are completed on time.
    • Maintain confidentiality and professionalism when handling sensitive client information and legal documentation.
    • Collaborate effectively with internal team members while working independently on assigned responsibilities.
    • Requirements

      • 2-3 years of experience drafting legal documents within an active legal practice or comparable professional environment.
      • Experience in estate planning, probate, wills, trusts, and/or trust administration.
      • Direct experience preparing some or all of the following: wills, trusts, probate pleadings, trust administration documents, trust accountings, and probate filings.
      • Experience managing or supporting trust administration matters, with full matter management from intake through accounting and closing highly preferred.
      • Massachusetts jurisdictional experience is preferred.
      • Strong legal document drafting, proofreading, editing, and document review skills.
      • Experience communicating directly with clients through phone, email, and video conferencing.
      • Ability to independently manage client communications while maintaining professionalism, accuracy, and responsiveness.
      • Familiarity with Clio is highly valued.
      • Experience with legal practice management systems, CRM platforms, Outlook, Vonage, Connect, or similar tools is advantageous.
      • Strong understanding of estate planning and probate processes.
      • Knowledge of trust administration and trust accounting procedures.
      • Strong legal research and analytical skills.
      • Exceptional attention to detail and commitment to accuracy.
      • Excellent written and verbal communication skills in English.
      • Spanish language proficiency is required or highly advantageous for supporting a bilingual environment.
      • Strong organizational and time-management abilities, with the capacity to manage multiple matters, deadlines, and priorities.
      • Ability to work independently in a remote environment while remaining dependable, proactive, and responsive.
      • Strong client-service mindset and ability to build positive professional relationships.
