Your Job

Flint Hills Resources - Pine Bend Refinery is seeking a highly organized, proactive, and contribution motivated Executive Administrative Assistant to support the Refinery Leadership Team (RLT) in Rosemount, Minnesota. This role is critical to enabling leadership effectiveness by coordinating priorities, managing administrative processes, and creating a seamless experience for employees, leaders, visitors, and business partners.

The ideal candidate is a self-starter who anticipates needs, embraces technology and AI-enabled tools, exercises sound judgment, and thrives in a fast-paced environment where priorities evolve quickly. This position requires exceptional organizational skills, strong attention to detail, discretion in handling confidential information, and a commitment to creating value through administrative excellence.

This is an onsite position located at Pine Bend Refinery in Rosemount, Minnesota.

Our Team

Pine Bend Refinery is one of the largest and most sophisticated refineries in the Midwest. The Refinery Leadership Team is responsible for driving operational excellence, strategic initiatives, employee engagement, and business performance across the site.

As a trusted partner to refinery leaders, you will play a key role in supporting leadership effectiveness, facilitating communication, coordinating critical activities, and helping improve administrative processes that support the refinery's success.

What You Will Do

  • Provide administrative support to members of the Refinery Leadership Team.
  • Coordinate complex calendars, meetings, leadership forums, and site events.
  • Manage meeting logistics, materials, action items, and follow-up activities.
  • Support refinement and tracking of leadership priorities, projects, and initiatives.
  • Arrange domestic travel and manage expense reporting.
  • Coordinate site visits, leadership meetings, and external guest visits.
  • Support employee engagement activities, recognition events, and leadership communications.
  • Prepare professional presentations, reports, and communications for various audiences.
  • Organize and maintain files, records, and administrative systems.
  • Leverage AI and digital tools to improve efficiency, automate administrative processes, and enhance team effectiveness.
  • Partner with leaders and business teams to ensure smooth execution of operational and strategic priorities.
  • Maintain confidentiality while managing sensitive business and personnel information.
  • Identify opportunities to improve administrative processes and implement solutions that increase effectiveness.

Who You Are (Basic Qualifications)

  • Experience providing administrative support in a professional business environment.
  • Experience using Microsoft Office applications including Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and Copilot.
  • Experience utilizing AI-enabled tools and technology to improve workflows and productivity.
  • Strong organizational skills with the ability to prioritize multiple tasks and competing deadlines.
  • Demonstrated attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information with discretion.

What Will Put You Ahead

  • Administrative support experience for senior leaders, executives, or leadership teams.
  • Experience supporting leaders in a manufacturing, industrial, refinery, or operations environment.
  • Experience coordinating large meetings, leadership events, or site-wide communications.
  • Strong project coordination or project management experience.
  • Advanced proficiency in Microsoft Office applications, including PowerPoint and Excel.
  • Experience leveraging Microsoft Copilot or other AI tools to improve efficiency and business outcomes.
  • Demonstrated ability to identify opportunities, solve problems proactively, and drive continuous improvement.

For this role, we anticipate paying $35 - $55 per hour.
