Document Controller, Piping Projects
Department: Piping Operations
Location: Walker, Louisiana
Pay: $25/hr
Position Overview
Kodiak is hiring a Document Controller to support active piping work in Walker, Louisiana. You’ll keep project documentation accurate, current, and traceable so field, fabrication, quality, and project teams are always working from the right drawings and records.
You’ll control document intake, distribution, revision status, transmittals, and records from execution through turnover. On a piping project, the wrong revision in the wrong hands means rework, and this role is what prevents that.
Key Responsibilities
- Receive, log, classify, distribute, and file project documents, including drawings, specifications, procedures, inspection records, submittals, transmittals, correspondence, and turnover packages.
- Maintain document registers and trackers showing document number, title, originator, revision, status, dates received or issued, review status, and distribution.
- Check incoming and outgoing documents for required identifiers, revision information, completeness, and routing before processing.
- Distribute approved documents to the right personnel and promptly communicate superseded or revised documents per document control procedures.
- Organize electronic and hard-copy records using approved file naming, folder structures, access controls, and retention practices.
- Maintain registers, trackers, logs, and status reports in Microsoft Excel, and prepare and update correspondence, forms, and document packages in Microsoft Word.
- Coordinate review and approval routing with project management, engineering, quality, fabrication, client representatives, and other stakeholders.
- Follow up on overdue reviews and missing records, and escalate issues that could affect fabrication, inspection, turnover, or schedule.
- Assemble, index, and quality-check final project and turnover records for completeness and legibility.
- Handle controlled project information carefully and follow confidentiality, cybersecurity, and records management requirements.
Required Qualifications
- Strong computer skills with working proficiency in Microsoft Excel and Word.
- Able to organize a high volume of records, keep accurate logs, and manage multiple deadlines without losing revision control.
- Sharp attention to detail on document numbers, revision identifiers, dates, status codes, and distribution lists.
- Clear written and verbal communication, with a professional approach to following up with project personnel.
- Able to learn project document management systems and follow established procedures consistently.
- Prior document control, project administration, records management, or construction support experience preferred.
- High school diploma or equivalent preferred; relevant administrative experience may be considered in its place.
- Able to meet project access, orientation, and safety requirements.
Work Environment and Physical Requirements
- Based in Walker, Louisiana, supporting an active piping project.
- Primarily computer and office-based, with periodic coordination with field, fabrication, quality, and project personnel.
- Extended computer use, handling files and records, and sustained focus on detailed information.
- Reasonable accommodations may be made where applicable.
What Success Looks Like
- Documents are filed and distributed accurately, with current revisions clearly identified and superseded versions controlled.
- Registers and status reports are kept current.
- Outstanding items are followed through to close.
- Turnover records are assembled to the project’s requirements.
