Legatics is an end-to-end transaction management platform focused on efficiency and client experience, transforming traditional paper and email based legal processes into simple, highly automated software that frees lawyers from administrative tasks and improves profitability.

Our customers include some of the world's top law firms, such as Allen & Overy, Hogan Lovells, Herbert Smith Freehills, Shearman & Sterling and King & Wood Mallesons. Legatics has been used globally on live transactions originating in more than 40 countries.

We are regularly featured in prominent industry publications including Forbes, the Financial Times, The Lawyer, Legal Business, LegalWeek, Legal IT Insider and Artificial Lawyer.

The role

We're looking for an Operations Manager to own how our internal operations run and to keep making them better as we grow. This is a role with real autonomy: you'll set the agenda for your area, make decisions and take them forward, not wait to be told what to do. It's hybrid, working from our London office 2 days per week with the flexibility to do more if and when required, plus occasional travel to our co-working spaces elsewhere in Europe.

You'll own the day-to-day across a broad set of areas: operations, workspace and facilities, systems and tooling, procurement, revenue operations, business data and information security support. You'll report to the COO, with a dotted line into our Chief People Officer.

This is a genuinely varied role for someone with a growth mindset who likes to get stuck into a bit of everything, spots how to make things run better and takes the initiative to fix it.

What you'd be doing

This list is what's most pressing today. It won't stay static. We want someone who spots what needs owning next rather than waiting to be asked.

Operations (70%)

  • Own our core operational processes end to end, actively reviewing and assessing them for improvement, then researching and implementing better ways of working.
  • Own our tech and SaaS stack, a multi six-figure annual budget. Supplier relationships, renewals, negotiations, and better ROI from it year on year.
  • Run the relationship with our RevOps agency partner, and own day-to-day Salesforce: users, permissions, reports, dashboards and data quality. It's the critical system the board, exec and commercial teams all run on.
  • Work with the COO on business data, from product usage data in QuickSight to commercial data in Salesforce, turning business questions into clear requirements and data into clear insights. You'll work alongside our fractional data consultant, who owns the technical back end, acting as the bridge to engineering and the commercial team.
  • Manage device procurement, hardware and first-line IT troubleshooting.
  • Work with the Security team on access management, security certification tasks, compliance procedures and staff engagement with good data and security practice.
  • Support the Legal team with process management and legal ops on an ad hoc basis.
  • Partner closely with the Chief People Officer on the operational side of the employee experience, including the practicalities of on and offboarding.
  • Keep our intranet and knowledge-sharing platforms well organised, current and genuinely useful, and encourage the team to use them well.
  • Help build the culture, from socials and offsites to the moments that bring the team together.
  • Keep touchpoints across teams to spot issues early and find opportunities to help.
  • Reprioritise constantly and manage deadlines and stakeholders across a broad task base.

Workspaces (30%)

  • Own and manage our London office, making it a great place to work.
  • Understand what the team needs from these spaces, from hardware and utilities to the day-to-day details that make a difference, and act on it.
  • Be the go-to for workspace queries, resolving them quickly and keeping things running.
  • Understand the pros and cons of hybrid working as felt by the team, gather their input, and work with the Chief People Officer to adapt our policies and procedures as needed so our approach keeps working for everyone.

Working AI-first

AI isn't a line item here, it's how we work. Legatics is one of the most AI-advanced companies you'll find at our size. Engineers, Commercial teams and the Management Team all run on AI daily, we build our own agents and skills, and our CEO and COO drive enablement personally.

You don't need to be an expert, just curious and quick. You'll be mentored by people already doing it, and you'll build your own toolkit faster than almost anywhere else. Within a year we'd expect you to be running AI enablement across the business alongside the COO.

Requirements

What we need from you

  • Someone autonomous and forward-thinking, with a growth mindset. You take ownership, make sound decisions without waiting for direction and keep looking for what's next.
  • A structured, process-driven approach to problem solving. You like to review how things work, question whether there's a better way and improve it (this is really key).
  • A strong interest or hands-on experience in using AI to work more efficiently, and enthusiasm for helping the wider team do the same.
  • Comfortable with data and business systems, and able to turn business questions into something a system or a report can answer.
  • Confident enough to hold a supplier negotiation and stand your ground on price and terms.
  • A few years' experience in an operations or business operations role, ideally with some ownership of your own area.
  • The ability to prioritise and reassess tasks to hit deadlines and work efficiently.
  • Comfort switching between and adapting to a broad range of tasks in a fast-paced environment.
  • A team-player mindset, with an eye for how operational decisions land with other teams.
  • Strong communication and listening skills, and the ability to build good relationships across the business.
  • The right to work in the UK. Unfortunately we're not able to support visa sponsorship at this stage.
  • The ability to work from our London office 2 days per week, with flexibility to do more when required.

Bonus points for the following (but don't worry, these aren't essential)

  • You've built or automated something yourself using AI, whether a workflow, a tool or a process, and can talk us through the impact.
  • Experience in a start-up or scale-up.
  • A track record of improving processes and managing change.
  • Experience managing office space, facilities or vendors.
  • Hands-on experience with Salesforce or a similar CRM.
  • Familiarity with tools like Google Workspace and Notion.
