What you'll do:

• Oversee the daily operations of the Administration function by managing activities such as mailroom operations, records management, contract administration, invoice processing, corporate card administration, telecommunication services, and asset management.
• Develop and enhance administrative policies, procedures, and controls with a focus on improving productivity, efficiency, governance, and service quality.
• Drive digitalisation initiatives and process improvements to automate workflows and elevate operational standards within the administration team.
• Monitor administrative service standards by establishing key performance indicators for continuous improvement and accountability.
• Lead the management of physical security systems including access control, CCTV surveillance, intrusion detection systems, visitor management systems, and alarm monitoring to ensure facility protection.
• Develop, implement, and maintain physical security policies in accordance with regulatory requirements and internal standards while conducting regular security assessments and vulnerability reviews.
• Oversee access management processes for employees, contractors, and visitors by ensuring privileges are appropriately granted and monitored.
• Investigate security incidents promptly by documenting findings, escalating issues when necessary, and implementing remediation actions to maintain a secure operating environment.
• Coordinate security operations with building management teams, external vendors, law enforcement agencies, and relevant government authorities to ensure seamless protection of premises.
• Prepare management reports on administration activities, security incidents, operational performance metrics, compliance status, risk mitigation measures, business continuity plans, vendor relationships, project progress updates, budgets, expenses related to administration or physical security functions.

What you bring:

• Bachelor’s Degree in Business Administration Management Security Management or related discipline is required for this position.
• Minimum 5-8 years of experience in administration facilities management corporate services or workplace management is essential.
• At least 3 years’ experience in physical security management project management security audits risk assessments is expected.
• Prior exposure to banking financial institutions or highly regulated environments will be considered a strong advantage for this role.
• Experience managing large-scale workplace facilities or security-related projects is preferred but not mandatory.
• Strong knowledge of physical security systems including access control CCTV visitor management alarm systems security monitoring technologies is vital.
• Good understanding of operational risk management business continuity crisis response frameworks is important for success in this position.
• Familiarity with regulatory compliance expectations applicable to banking financial services sector will help you excel in this role.
• Knowledge of procurement processes contract management vendor governance budget administration is beneficial for handling resource allocation effectively.
• Excellent written verbal communication skills stakeholder engagement abilities organisational skills attention to detail execution excellence proactive mindset
• Proficiency in Microsoft Office applications especially Excel PowerPoint Word Teams are all highly valued.
