Role Overview:
The Associate Creative Operations Director combines confident stakeholder management with strong project management and a hands-on, delivery-focused mindset. The role is central to planning, coordinating and progressing creative campaigns from initial brief through review, production and final delivery. Working as a trusted day-to-day partner to the internal Novartis creative team and CCS brand leads, you will translate priorities into practical plans, maintain momentum across multiple workstreams and help teams navigate the requirements of a highly regulated environment. You will own key delivery mechanics while escalating major risks, scope decisions and resource constraints to the Creative Operations Director or relevant lead.
Key Responsibilities:
Project Management & Delivery Control
- Build and maintain integrated project plans covering scope, milestones, dependencies, owners, reviews and final delivery.
- Manage day-to-day delivery across multiple creative workstreams, from briefing and scoping through development, production, approval and handover.
- Run project kick-offs, status reviews and delivery checkpoints, ensuring actions, decisions and next steps are clearly documented.
- Track progress against agreed timelines, identify slippage early and drive recovery plans with the relevant teams.
- Maintain clear project documentation, including status reports, RAID logs, decision logs, contact reports and delivery trackers.
- Manage change control by assessing the impact of new requests on scope, timing, budget and resources before commitments are made, escalating any material changes where required
Workflow, Approvals & Quality
- Coordinate workflows across creative, strategy, production, medical, legal and regulatory teams, with clear hand-offs and accountabilities.
- Plan review cycles and consolidate feedback so it is timely, actionable and aligned to the approved brief.
- Track approvals, revisions and version control across complex MLR and compliance processes.
- Prepare and manage delivery documentation, including FUSE uploads and Production Hub documentation where required.
- Confirm that final deliverables are complete, production-ready and aligned with stakeholder, brand and compliance requirements.
Stakeholder & Account Coordination
- Act as a consistent day-to-day point of contact between the internal Novartis creative team, CCS brand leads and delivery partners.
- Set clear expectations on scope, timings, responsibilities, review requirements and decision points.
- Communicate project status, risks, trade-offs and required actions in a concise and solutions-focused way.
- Build productive working relationships with medical, legal and regulatory reviewers, internal creative and strategy teams, production partners and external suppliers.
- Escalate material risks or decisions promptly, with clear options and a recommended path forward.
Resource, Budget & Supplier Coordination
- Support resource planning by clarifying project needs, sequencing work and highlighting capacity constraints, maintaining forward visibility to support overarching Creative Team capacity planning.
- Track project budgets, estimates, purchase requirements and spend from the creative team side, maintaining visibility against plan, flagging any additional requirements in a timely manner.
Creative Team Enablement
- Protect creative focus by keeping briefs clear, timelines realistic, feedback organised and delivery requirements visible.
- Anticipate blockers, resolve day-to-day issues and create the structure teams need to make progress.
- Encourage consistent ways of working, templates and project management standards across campaigns.
- Capture lessons learned and apply them to improve future planning and delivery.
Skills & Experience:
- Experience managing or supporting the delivery of integrated creative campaigns, ideally for pharmaceutical or healthcare brands.
- Strong project management capability, including planning, scheduling, risk and dependency management, status reporting and change control.
- Ability to manage multiple concurrent projects and stakeholders with confidence, professionalism and attention to detail.
- Clear, calm and proactive communication, with the judgement to resolve issues directly and escalate when needed.
- Experience working with MLR or similar review and compliance processes.
- Working knowledge of creative production workflows across digital, print and campaign assets.
- Commercial awareness, including experience tracking estimates, budgets and project spend.
- Comfort working hands-on and close to the day-to-day detail while maintaining sight of overall priorities.
Preferred:
- Experience using project management or workflow tools to manage plans, actions, approvals and reporting.
- Experience coordinating agencies, freelancers, production partners or other external suppliers.
- Understanding of pharmaceutical brand planning cycles, launch timelines and regulated content delivery.
Payroll: Inside IR35 (PAYE)
Workload: 7 hours per day / 35 hours per week
