About the Role

We are looking for a proactive and detail-oriented professional to join the team within ASE/EOS at NTU. In this role, you will play a key part in ensuring our research laboratories and office facilities are safe, compliant, operating efficiently and aligned with NTU’s research and education goals - directly supporting world-class scientific research. The incumbent will also work closely with and influence stakeholders to achieve the team’s operational and strategic objectives.

Key Responsibilities

  • Oversee laboratories equipment maintenance/certification, ensuring equipment under the custodian of the laboratory are always in safe working condition, complying with local regulations as well as OEM requirements.

  • Liaise and coordinate with service engineers, vendors and contractors for laboratories maintenance, repairs, site surveys and facilities related works.

  • Oversee the chemical inventory management system and hazardous waste disposal processes, ensuring proper documentation, safe handling practices, and compliance with Singapore regulatory and institutional safety requirements.

  • Ensure chemical inventories are properly maintained, updated, and reconciled by laboratories in compliance with institutional safety policies.

  • Plan, conduct, and support laboratory and office safety inspections, audits, and compliance reviews, ensuring proper documentation, audit readiness, and timely closure of findings.

  • Lead the investigation of safety incidents, accidents, and non-compliance cases, including root cause analysis, and development of corrective and preventive actions to prevent recurrence.

  • Track, monitor, and ensure timely follow-up and closure of all safety-related incidents, breaches, and rectification actions across laboratories and office facilities.

  • Conduct safety induction briefings and training sessions for new staff, students, and research personnel, including fieldwork safety awareness and laboratory safety requirements.

  • Monitor the completion of mandatory Online Safety Modules for staff and students, in accordance with University requirements.

  • Oversee the maintenance and readiness of emergency response equipment, including first aid and fire safety equipment in laboratories and office areas. Support the preparation of fieldwork safety equipment and consumables.

  • Support continuous improvement initiatives in laboratory operations, workplace safety and health, and facilities management to enhance efficiency, compliance, and service quality.

  • Serve as a key operational point of contact for laboratory operations, safety, and facilities matters, ensuring adherence to safety standards and regulatory compliance.

  • Provide backup support to other laboratories and safety personnel as required to ensure continuity of laboratory operations and safety coverage.

  • Provide administrative and operational support to the OPS team, including coordination, documentation, reporting, and other ad-hoc duties as required.

Requirements

  • Bachelor’s degree in related field is preferred.

  • At least 1-2 years of relevant experience in laboratory operations, facilities management, or safety administration.

  • Knowledge of local safety regulations and guidelines relevant to typical research and laboratory activities, preferably in an IHL setting.

  • Strong organisational and coordination skills with the ability to effectively manage multiple priorities in a fast-paced environment.

  • Excellent written and verbal communication skills, with the ability to engage and collaborate effectively with diverse internal and external stakeholders at all levels.

  • Strong analytical and problem-solving abilities, with the capability to identify issues, determine root causes, and implement appropriate corrective and preventive measures.

  • High attention to detail, particularly in maintaining accurate records, documentation, and compliance-related reporting requirements.

  • A proactive team player who is also able to work independently with minimal supervision and demonstrate initiative when required.
