Executive and Team Assistant (f/m/d)

Job Responsibility:

• Executive Assistant to a VP, incl. calendar and travel management, inbox management, strategic meeting organization, preparation of presentations, support with reports
• Team Assistant
  • Travel management for team members
  • Organization of meetings, workshops and conference calls
  • Onboarding of new employees with respect to IT and office equipment and offboarding
  • Organizational & administration tasks: taking care of distribution lists, Sharepoint and org charts administration, expense reconciliation, purchase orders, administration of time-chart, vacation- and absent-files
  • Handle confidential matters and take ownership and personal accountability
  • Contribute to small-scale projects and administrative improvements

Job Qualification:

• Several years of experience in an assistant role
• Strong knowledge of office management incl. IT tools for administration, travel and purchasing
• Solid proficiency in MS Office, including Excel reporting and PowerPoint
• Good organizational talent with high flexibility to deal with changing priorities
• Excellent communication skills in both English and German
• Excellent interpersonal skills
• Friendly attitude and team player
• Ability to work under pressure, prioritize and take the initiative
• Extremely high level of professionalism, discretion and confidentiality
• Continuous improvement mindset: proactively identifies opportunities to streamline workflows, improve templates, or update documentation
• Demonstrate strong ownership, personal accountability, and commitment to follow-through
