Export Logistics and Admin Coordinator

Our client based in Stellenbosch is seeking an Export Logistics & Admin Coordinator (Fresh Produce). The role supports the export of fresh fruit and vegetables to West Africa and the Indian Ocean islands. The coordinator supports each shipment from supplier to client. The work covers documentation, logistics, invoicing and quality checks.

• Collect export documents from suppliers (packing lists, PPECB inspection records, GLOBALG.A.P. certificates and similar) and forward them to the freight forwarder.
• Obtain shipping documents from the freight forwarder (bill of lading, final phytosanitary certificate and similar) and distribute them to clients and agents.
• Verify every document against client account requirements (consignee, notify party, product descriptions, quantities) before release.
• Follow up on missing or incorrect documents until complete, within agreed timelines.

• Maintain a working understanding of the full local and international logistics chain: packhouse, cold store, port, shipping line and destination.
• Liaise with the logistics team to book local transport and coordinate collections from suppliers.
• Coordinate bookings, loading dates and loading points with the freight forwarder.
• Track every container and keep clients informed of departure, transit and arrival.
• Follow up with consignees to ensure prompt clearance and avoid demurrage and detention charges.

• Understand export costings (FOB/FCA, freight, consolidation, cooling and transport charges).
• Prepare invoices for all clients outside South Africa, based on selling prices provided by management.
• Check supplier, transport and forwarder invoices against agreed costings, and flag discrepancies.

• Visit suppliers and packhouses to check fruit quality before loading. Training is provided.
• Report on quality with photos and notes, and flag any issues before stock is accepted.

• Know each client account and its specific requirements (documents, labelling, packaging, payment terms).
• Act as the day-to-day admin contact for clients, suppliers and the freight forwarder.

Strong attention to detail and accuracy with documents and numbers (essential).

Experience in export administration, freight forwarding or fresh produce (preferred).

Good Excel and email skills.

Valid driver's licence and own transport for supplier visits.

Organised, and able to manage several shipments and deadlines at once
