Company Description

Who we are

Langland, a Publicis Health company, is the only health communications agency that thinks further across Clinical Trial Experience, Medical Strategy & Education, Public Relations & Engagement, and Advertising, to create unique value with visionary clients.

What we believe

Health brings us together. In the diseases we suffer, the medicines we create, and the causes we champion, health shows us our collective humanity. When we break the barriers that divide us, when we think further, we can create healthier futures, together.

A passion for craft

Having expert thinking is only part of our story. To ensure excellence in everything we make, we have centred our disciplines around three essential crafts: science, strategy and creativity.

Overview

This is an opportunity to play a pivotal role at the heart of Langland, providing high-quality executive support to the Group Managing Director and wider Senior Leadership Team.

We’re looking for an exceptionally organised, curious and proactive self-starter who takes real ownership of their role. You’ll be someone who anticipates what is needed, spots issues before they become problems, and is confident making decisions and progressing things independently.

You’ll need to be comfortable working at pace, managing competing priorities and dealing with senior stakeholders across Langland, Publicis Health and Publicis Groupe. A calm, capable and solutions-focused approach is essential, alongside excellent judgement, discretion and communication skills.

This is more than diary and administrative support. We’re looking for someone who will stay one step ahead, make things happen and help the leadership team operate at its best.

Responsibilities

  • Proactively manage complex diaries, priorities and schedules across multiple geographies and time zones, anticipating pressures, resolving conflicts and protecting time for key priorities.
  • Act as a trusted point of contact for the Group Managing Director, using sound judgement to prioritise requests and progress actions independently.
  • Coordinate domestic and international travel arrangements, alongside accurate and timely expense management.
  • Support the Group Managing Director and Senior Leadership Team with leadership meetings and key business activities, coordinating agendas, materials and logistics and ensuring actions are followed through.
  • Liaise confidently with clients, senior leaders and teams across Langland and Publicis Groupe, handling sensitive and confidential information with discretion.
  • Support agency operations and key initiatives, including onboarding of new hires and coordinating internal, client and agency events.
  • Provide high-quality document formatting and proofreading support for internal and client-facing materials.
  • Use Microsoft 365, generative AI and emerging productivity tools to streamline administration, improve processes, automate repetitive tasks and introduce smarter ways of working.

Qualifications

  • Previous experience as an Executive Assistant supporting senior leadership, ideally within a fast-paced professional, creative or agency environment.
  • A proactive, self-starting mindset, with the confidence to take ownership and use your initiative.

  • Exceptional organisational skills and the ability to manage multiple competing priorities.

  • Strong judgement and decision-making skills, knowing when to act independently and when to escalate.

  • Excellent communication skills and attention to detail, along with a genuine desire to improve how things are done.

  • Confidence building relationships with people at all levels, including senior executives and clients, and a positive, collaborative attitude

  • A calm, professional and solutions-focused approach, particularly when priorities change or pressure increases.

  • Advanced Microsoft 365 skills and confidence using generative AI and new technology.
