We are looking for a People Solutions Associate to join our People Solutions team on a full-time, fixed-term basis.

The People Solutions Associate will be part of the People Solutions operations team within People & Culture, providing administrative and coordination support across HR and Learning & Development (L&D). The role plays an important part in the accurate, timely and efficient delivery of employee lifecycle processes, People services and learning programmes.

Working within established processes and procedures, the Associate will manage routine queries and administrative activities, maintain accurate employee and learning records, coordinate operational activities and learning events, and escalate matters requiring specialist advice or approval.

The role works across a range of activities throughout the year and requires a high level of organisation, attention to detail and commitment to providing an excellent service to our people.

Key Responsibilities

  • Provide first-level support for routine HR and L&D queries received through shared mailboxes, service management tools, telephone and in-person channels, resolving queries in line with established procedures and escalating complex or sensitive matters where appropriate.
  • Maintain and update employee and learning records within HR and Learning Management Systems, ensuring information is accurate, complete and up to date.
  • Support employee lifecycle administration, including onboarding, employment changes and offboarding processes.
  • Support monthly payroll administration by preparing, checking and submitting employee changes and supporting information accurately and within agreed deadlines, escalating discrepancies for review.
  • Coordinate the administration and logistics of learning programmes and events, including scheduling, participant communications, room bookings, learning materials and occasional off-site workshops.
  • Track attendance and completion of pre- and post-course requirements, following up on outstanding items where appropriate and maintaining accurate participant records.
  • Prepare and maintain HR and L&D documentation, correspondence, forms, reports and supporting materials using approved templates and procedures.
  • Update and maintain People Solutions trackers, logs and records in line with established guidelines and processes.
  • Collaborate with colleagues across People & Culture and key stakeholders to resolve queries and support the effective delivery of operational activities.
  • Handle employee and learning information confidentially, maintaining records and documentation in line with data protection, retention, audit and compliance requirements.
  • Use approved systems and digital tools to support efficient administration, including maintaining digital forms, tools and process documentation used across People Solutions activities.
  • Identify opportunities to simplify or improve routine administrative processes and raise suggestions with senior team members.
  • Take responsibility for the accuracy and completeness of assigned work, completing required checks and obtaining review or approval in line with established procedures.
  • Support ad hoc operational tasks, projects and People & Culture initiatives as required.

Skills and Experience

  • A relevant third-level qualification is desirable.
  • 1-2 years’ experience in administration or operational support, ideally within HR, L&D or a similar service-focused environment.
  • Experience managing multiple administrative activities and competing deadlines in a busy environment.
  • Experience using HR Information Systems and/or Learning Management Systems is desirable; experience with Workday would be an advantage.
  • Strong Microsoft Office skills, particularly Excel, Word and Outlook.
  • Highly organised, with strong attention to detail and a commitment to accuracy.
  • Excellent written and verbal communication skills.
  • A collaborative team player who can build effective working relationships with colleagues and stakeholders.
  • Able to prioritise effectively and deliver work within agreed deadlines.
  • Reliable and proactive, with the judgement to work independently within established procedures and seek guidance when required.
  • A strong service-focused approach, with the ability to resolve routine queries, identify discrepancies and escalate issues appropriately.
  • Able to handle confidential and sensitive information with discretion.
  • A proactive learner with a commitment to continuous personal and professional development.
