Purpose of the Role

The Project Manager supports procurement, project coordination, documentation, and operational systems for a distributed technical team. The role helps move high-volume work forward by obtaining and tracking purchases, coordinating remote-site activities, maintaining accurate records, and improving the processes used to deliver OT Engineering projects and services.

A successful candidate creates order from ambiguity, follows details through completion, communicates clearly, and independently researches unfamiliar problems before bringing forward practical recommendations.

Core Responsibilities

·Build and maintain productive relationships with vendors and sales representatives.

·Obtain accurate quotes in a timely manner and expedite procurement when project schedules require it.

·Manage the purchase, tracking, delivery, and coordination of hardware and software for remote locations.

·Coordinate with owners, site technicians, vendors, and internal engineers to support product installation and project delivery.

·Manage software and hardware license renewals for a large device portfolio and maintain accurate renewal records.

·Assist with project planning, documentation, schedules, status tracking, meeting coordination, risks, and follow-up actions.

·Maintain the systems, trackers, and tools used by the team, with a strong focus on data quality and reliable follow-through.

·Create, deploy, and continuously update standard operating procedures and other operational documentation.

·Identify process gaps, research possible solutions, and collaborate with the Project Manager to implement practical improvements.

·Conduct independent research and gather data to support purchasing, technical, operational, and project decisions.

Required Skills and Competencies

·Exceptional attention to detail, with a demonstrated ability to organize and accurately manage a high volume of records, tasks, deadlines, and dependencies.

·Self-directed problem solving: able to investigate unfamiliar topics, evaluate available information, and develop a recommended path forward with limited direction.

·Curiosity and creativity in improving workflows, solving operational problems, and building repeatable processes where clear processes do not yet exist.

·Strong written communication, including the ability to compose concise, clear emails that make next steps and requested responses easy to understand.

·Ability to learn and work within a technical environment, including researching terminology and concepts that may initially be unfamiliar.

·Ability to interpret technical information and explain it clearly to non-technical audiences.

·Confidence and a professional, cordial approach when communicating with clients, vendors, and internal stakeholders.

·Ability to manage competing priorities, recognize when escalation is needed, and reliably close the loop on open items.

Qualifications

·Bachelor's degree in Business, Project Management, Engineering, Supply Chain, Operations, or a related field, or at least two years of relevant experience in project coordination, procurement, operations, or a related area.

·Experience supporting distributed teams, remote installations, technical projects, or multi-site operations is preferred.

·Proficiency with Excel and comfort learning project management, ticketing, asset management, and database tools.

·Experience with Trello, Zendesk, or similar workflow platforms is preferred.

·CAPM, PMP, or relevant procurement or operations certification is preferred but not required.
