Clinical Trials Coordinator

Through seed funding provided by the Ramsay Hospital Research Foundation, Ramsay Health Care has established a national clinical trials network. Consisting of 22 sites spread across four states of Australia, the network employs over 60 team members who focus on the establishment and development of clinical trials at our sites. Our clinical trial activities focus on Oncology & Haematology, Mental Health, Musculoskeletal Disease and Cardiology as well as other therapeutic areas such as respiratory and neurology. Through this dedicated network Ramsay Health Care is able to provide access to emerging treatments and new devices that offer a participant the potential of changing the outcomes of any diagnosis and disease.

The role will report to the Clinical Trials Unit and Research Manager and will work closely with a number of key stakeholders including the clinical trials team, the Hospital finance teams and the National Clinical Trials Network.

About The Role

Join our team as a Clinical Trials Coordinator on a full-time permanent basis!

The Clinical Trials Coordinator is responsible for the day-to-day coordination and management of clinical research studies conducted at Ramsay Clinic Northside, ensuring compliance with Good Clinical Practice (GCP), study protocols, ethical requirements, and regulatory standards. The role supports the delivery of high-quality mental health research by coordinating participant recruitment, assessments, data collection, and study administration while maintaining participant safety and wellbeing.

Key Responsibilities

• Coordinate all aspects of clinical trials from study start-up through to close-out.
• Screen, recruit, consent, and retain study participants in accordance with approved protocols.
• Conduct study visits, assessments, and data collection activities as delegated by the Principal Investigator.
• Maintain accurate and timely study documentation, source records, and case report forms.
• Ensure compliance with Human Research Ethics Committee (HREC), Therapeutic Goods Administration (TGA), ICH-GCP, and sponsor requirements.
• Liaise with investigators, sponsors, contract research organisations (CROs), pharmacists, and other healthcare professionals.
• Coordinate study monitoring visits, audits, and regulatory submissions.
• Manage participant scheduling and follow-up appointments.
• Monitor adverse events and report safety information according to study and regulatory requirements.
• Maintain research databases and ensure data quality, confidentiality, and integrity.
• Assist with study feasibility assessments, site initiation activities, and participant recruitment strategies.
• Support continuous improvement initiatives and contribute to the growth of the clinic's research program.

About You

To be successful in this role, you will bring:

• Experience coordinating clinical trials and/or conducting clinical research.
• Relevant qualification in Nursing, Psychology, Health Sciences, or a related field.
• Knowledge of ICH-GCP guidelines, ethics processes, and clinical trial regulations.
• Strong organisational, time-management, and multitasking skills.
• Excellent communication and interpersonal skills, with the ability to engage sensitively with participants experiencing mental health conditions.
• High level of attention to detail and accuracy in documentation.
• Ability to work independently while collaborating effectively with multidisciplinary teams.
• Proficiency in Microsoft Office, clinical trials management systems and clinical research databases.
